Building Maintenance Manager

You will be responsible for overseeing building maintenance, repair needs, facility upkeep, vendor coordination, and maintenance-related communication across all company locations. This role helps ensure each facility remains safe, functional, organized, and properly maintained by identifying issues, completing repairs when possible, and scheduling outside repair services when needed.

Key Responsibilities:

Building Maintenance and repairs

• Track building maintenance issues, repair needs, and facility concerns across all three company locations.
• Complete building repairs and maintenance tasks when able and appropriate.
• Schedule outside vendors or contractors for repairs that require specialized service, licensing, equipment, or additional support.
• Follow up on open maintenance items to ensure repairs are completed in a timely manner.
• Communicate building issues, repair status, and major maintenance needs to management.

Facility Upkeep and Safety

• Help maintain safe, clean, and functional facilities for employees, customers, vendors, and visitors.
• Inspect buildings and property areas for maintenance concerns, safety issues, damage, or needed repairs.
• Address facility-related safety concerns such as lighting, doors, locks, walkways, leaks, heating and cooling concerns, plumbing issues, electrical concerns, and general building repairs.
• Report major safety, structural, or operational concerns to management right away.
• Support company safety standards by helping keep buildings and common areas properly maintained.

Vendor & Contractor Coordination

• Contact, schedule, and coordinate outside repair vendors, contractors, and service providers as needed.
• Communicate repair scope, location details, access needs, timing, and expectations to vendors.
• Review completed work and report any concerns, incomplete repairs, or follow-up needs to management.
• Help obtain quotes or estimates for larger maintenance projects when requested.
• Maintain positive working relationships with vendors, contractors, employees, and management.

Preventative Maintenance & Facility Planning

• Help identify recurring maintenance issues and recommend solutions to prevent future problems.
• Assist with planning routine facility maintenance, seasonal repairs, inspections, and property upkeep.
• Monitor building systems and general facility conditions to help reduce downtime, damage, and emergency repairs.
• Maintain awareness of facility needs at each location and help prioritize repairs based on safety, urgency, cost, and business impact.

Records, Communication & Company Standards

• Maintain organized records of building maintenance issues, repair requests, vendor work, quotes, invoices, and completed repairs.
• Communicate with department managers and employees regarding facility issues, access needs, repair timing, and completed work.
• Coordinate with accounting or management on maintenance-related invoices, vendor questions, and repair expenses.
• Travel between company locations as needed to inspect, repair, coordinate, or follow up on building maintenance items.
• Perform other duties as assigned by management.
