Sanford Rose-JFSPartners is currently seeking a detail-oriented and proactive Construction Project Administrator for a well-established organization in the construction industry. This role plays a critical part in ensuring subcontractor payroll compliance and supporting field operations across active jobsites.
Responsibilities
- Prepare, format, and manage field correspondence, memos, reports, subcontracts, change directives, purchase orders, and transmittals.
- Route documents for required signatures from Superintendent, subs, and internal field leadership.
- Maintain organized digital and physical filing systems onsite.
- Communicate Davis-Bacon/Prevailing Wage requirements to all subcontractors prior to mobilization.
- Train subs on proper completion and submission of Certified Payroll Reports (CPRs), labor classification, fringe reporting, and submission timing.
- Provide templates or required submission formats (Excel, Procore, or owner-specified structure).
- Confirm project Wage Determination (WD) accuracy for county, trade, and contract date.
- Ensure required posters are displayed onsite including WH-1321 (Davis-Bacon), OSHA, and anti-retaliation notices.
- Ensure subcontractors submit CPRs within 7 days of payroll week ending. Audit CPRs for correct classification, prevailing wage minimums, fringe inclusion, and proper overtime calculations.
- Submit verified Certified Payroll package via required project channel. Track missing or deficient CPR submissions and issue immediate correction requests.
- Maintain log of reported fringe benefit rates paid in cash or to approved plans.
- Confirm apprentices are registered in DOL-approved programs and paid according to required percentage tiers.
- Monitor compliance with journeyman-to-apprentice ratios per trade program standards.
- Support Superintendent with weekly/bi-weekly field reporting including workforce logs, safety training records, labor compliance verification, and project administration updates.
- Ensure Certified Payroll reporting periods align with subcontractor billing cycles to support accurate cost recognition and pay application timing.
- Assist the project team in managing, on an as needed basis, project contact lists, permit logs, plan revisions, material delivery schedules, subcontractor insurance tracking, and compliance correspondence
- Must have Minimum 3 years of administrative experience within a construction General Contractor, preferably field based.
- Experience with Davis-Bacon / Certified Payroll compliance and/or prevailing wage reporting required.
- Required experience with software that is for prevailing wages/davis bacon act
- Strong writing, proofing, and document formatting skills required
- Experience with Procore a plus
