What are the responsibilities and job description for the Bookkeeper position at Sandra Dijkstra Literary Agency?
The Sandra Dijkstra Literary Agency seeks a full-charge Bookkeeper who is detail-oriented and who ideally has experience and interest in the book publishing world. Candidate must do well in a busy office environment which conducts business domestically and internationally, have a good understanding of basic accounting and creating monthly financial statements, proficiency in Quickbooks Online, Excel, and Word (experience with Airtable is a plus), and be able to meet tight deadlines. We are a small team, so being proactive, cooperative, and flexible is vital.
This position will work with one other Finance Department colleague, and will report to the President of the company as well as the Agency Director. This is an in-person job (no remote option), located in Del Mar, CA. While we currently seek to fill a full-time roll, a part-time option may be available for the right candidate.
Requirements:
- Experience with bookkeeping and/or royalties, preferably within the publishing industry.
- Familiarity with accounting issues and ability to create financial reports.
- Superior organizational skills, and attention to detail.
- Proficient in Quickbooks (online), Microsoft Office, and Airtable (a plus).
- Ability to work with tight deadlines and complete tasks in a timely fashion.
- Ability to maintain a database.
- Professional and articulate.
- Reliable and trustworthy.
Responsibilities may include, but are not limited to:
- Monthly reconciliations of two bank accounts
- Updating extensive forthcoming publishers’ payments for current year and years (money due list)
- Forecasting projections of income and expenses twice annually and report to President.
- Daily posting of deposits on Quickbooks online
- Servicing sales team with their financial requests
- End of the year reports to President
- Report to Accountant financial statements and end of the year financials
- Monthly payroll and all communications with payroll company
- Handling of all IRS and Franchise Tax Board notices.
- Handling work compensation Insurance and Liability Insurance
- Issuing payments to authors with copies of their statements
- Federal filing reporting of 1099 / 1042
- Answering various finance questions from clients, with knowledge, professionalism, and tact
- Filing various business forms
