Position Purpose
As the Director of Events, you will be responsible for overseeing and leading all aspects of the club's events team. Your primary goals: ensure the seamless delivery of exceptional events and services to our members and guests while maintaining the highest standards and providing inspirational leadership to our team members. You will play a pivotal role in upholding the club's reputation for excellence and creating a unique and memorable experience for our discerning members.
Event Sales & Strategy:
- Sell Events: Actively promote and sell event space and services to members, private clients, and corporate groups for both small and large-scale events.
- Client Relationship Management: Build and nurture relationships with members and potential clients to ensure repeat business and continued growth in event sales.
- Custom Event Proposals: Develop tailored event proposals that meet client needs, ensuring clear communication of event offerings, pricing, and logistics.
- Sales Goals: Achieve monthly and annual sales targets for event bookings while maintaining budget guidelines for event revenue.
Event Planning & Execution:
- Event Coordination: Oversee all aspects of event planning, including venue selection, catering, audio-visual needs, décor, security, and other logistics.
- On-site Management: Be the main point of contact for event clients on the day of the event, ensuring smooth execution and resolution of any issues that arise.
- Member Experience: Ensure all events align with the quality and service standards expected by San Vicente West Village members and guests, offering personalized experiences that exceed expectations.
- Vendor Relations: Manage relationships with third-party vendors (caterers, decorators, entertainment, etc.) to deliver seamless and high-quality event experiences.
- Budget & Forecasting: Oversee event budgets, ensuring cost control while maximizing profitability. Provide detailed forecasting and post-event reports.
Leadership & Team Collaboration:
- Team Leadership: Lead and motivate the events team, providing clear direction, training, and development opportunities to support their professional growth.
- Collaboration: Work closely with the Sales, Catering, and Operations teams to ensure all events are executed flawlessly and efficiently.
- Staff Scheduling: Manage event staff scheduling and ensure adequate staffing levels to meet event demands.
Administrative & Reporting:
- Event Documentation: Maintain accurate records of event details, contracts, and correspondence within Tripleseat.
- Performance Metrics: Track and report on event performance, sales figures, customer satisfaction, and operational efficiency.
- Reporting to Management: Provide regular updates to the General Manager on event revenue, upcoming bookings, and any challenges or opportunities.
Qualifications & Skills:
- Experience: At least 5 years of experience in event planning and sales, with a proven track record of success in both selling and executing high-quality events in a luxury NYC hospitality setting.
- Leadership: Previous leadership or management experience in an event or hospitality setting is preferred.
- Member Relations: Strong interpersonal and communication skills with an ability to build and maintain relationships with members, clients, and vendors.
- Event Expertise: A deep understanding of event logistics, including catering, decor, A/V, and event management software.
- Sales Acumen: Strong sales skills with a focus on exceeding revenue targets and delivering an exceptional customer experience.
- Organization: Exceptional organizational skills with an ability to manage multiple events simultaneously while paying attention to detail.
- Problem-Solving: Ability to think on your feet and resolve challenges effectively during live events.
- Creativity: A creative mindset to help clients envision unique and memorable events.
- Flexibility: Ability to work evenings and weekends as needed based on the event schedule
Qualifications:
- Bachelor’s degree in hospitality management, Business Administration, or a related field.
- Proven experience in a senior leadership role within the luxury hospitality industry, with a strong track record of operational excellence and financial performance in a high-volume, luxury F&B setting within NYC.
- Exceptional interpersonal and communication skills, with the ability to build and maintain relationships with diverse stakeholders.
- Experience executing successful high-profile restaurant openings
- Strong business acumen and strategic thinking abilities, coupled with a detail-oriented approach to problem-solving.
- Demonstrated leadership skills, including the ability to motivate and inspire teams to achieve outstanding results.
- In-depth knowledge of industry trends, best practices, and compliance requirements.
- Familiarity with membership-based organizations and a passion for delivering exceptional service.
Salary : $120,000 - $140,000
