Job Overview:
The Entry-Level Facilities Assistant supports daily building operations by assisting with gathering service quotes, helping
oversee small projects, and identifying opportunities to keep the facility safe, clean, and efficient. This role is designed for
candidates with limited experience who are eager to learn facility operations, vendor coordination, and basic
maintenance processes. Training will be provided.
Essential Duties and Responsibilities:
- Assist in requesting and collecting multiple quotes from vendors for services such as repairs, maintenance, and building improvements.
- Help coordinate scheduled work with contractors and vendors; follow up to ensure tasks are completed.
- Perform routine walk-throughs of the building and grounds; report issues or improvement needs to the Facilities Manager.
- Support small-scale facility projects by tracking progress, documenting work, and communicating status updates.
- Assist with maintaining organized records of quotes, invoices, service agreements, and project files.
- Help schedule preventive maintenance and support work-order processing.
- Monitor inventory of facility supplies and assist with ordering replacements.
- Learn and follow company safety procedures, including proper PPE usage and hazard reporting.
- Provide general support to the facilities team such as moving light materials, setting up rooms, or assisting with minor repairs under supervision.
- Perform other related duties as assigned.
Knowledge, Skills & Abilities:
- Strong willingness to learn facility operations, vendor coordination, and maintenance basics.
- Good communication and teamwork skills.
- Basic computer skills, including email and simple data entry.
- Ability to stay organized and follow processes.
- Problem-solving mindset and attention to detail.
- Dependability, punctuality, and a positive attitude.
Preferred (but not required):
- Familiarity with hand tools or basic building maintenance concepts.
- Experience working in a warehouse, maintenance, or customer-service environment.
- Any experience in general labor, maintenance support, custodial, warehouse, or administrative work.
Education:
- High school diploma or equivalent (GED).
Physical Requirements:
- Ability to stand, walk, bend, reach, and lift up to 40–50 lbs occasionally.
- Comfortable navigating stairs, mechanical rooms, and outdoor areas.
- Exposure to varying temperatures, dust, noise, and possible cleaning or maintenance chemicals (PPE provided).
- Work performed indoors and outdoors depending on task.
- Must be able to safely use basic tools after training.
- Occasional flexibility may be required for vendor schedules or project needs.
