Position Summary
Responsible for assisting in the attainment of district goals by ensuring the proper processing of transactions that
affects the reporting, compilation, and generation of data relating to the financial and operational objectives of the
Financial Services Department.
Essential Functions / Key Responsibilities
1. Records, classifies, and summarizes accounting transactions requiring knowledge of accounting policies,
procedures, and systems within the department.
2. Complies with internal control procedures to deter the risk of fraud and collusion.
3. Receives and counts cash, codes accordingly, and issues cash receipts.
4. Utilizes banking software to post daily deposits and ACH transactions for campuses and/or departments.
5. Issues petty cash reimbursement, to include maintaining and reconciling petty cash.
6. Monitors positive pay notifications and provides copies of checks for exceptions.
7. Records NSF charge backs and bank corrections and notifies campuses.
8. Analyzes general ledger accounts upon request and ensure corrections are made and communicated to
others. Responds to inquiries from schools and departments regarding general ledger accounts.
9. Prepares monthly general journal entries to include transportation, postage, print shop work orders, and
vending machine commissions.
10. Utilizes the bank’s software to obtain images of paid checks.
11. Prepares invoices, ages accounts receivable, and communicates with individuals and organizations.
12. Submits various reports and jobs on the finance system for the end of month process.
13. Monitors and maintains the general ledger to ensure that all funds are continually in balance.
14. Assists with special tasks to establish carryover funds for the new fiscal year.
15. Assists with preparation of special schedules required for the annual financial report.
16. Prepares presentation to train campuses and/or departments on cash handling procedures and bank
deposit preparation.
17. Performs necessary office and clerical duties to include: answering department phones, maintaining
records retention database, etc.
18. Performs other related duties as assigned within the appropriate skill and experience capabilities
expected for this position.
Minimum Requirements
- High School diploma or GED equivalent recognized by the Texas Education Agency or a regional
substituted for two years of full-time job-related experience.
- 3 or more years of full-time accounting or bookkeeping experience
