Schedule: 6-12 hours per week, with additional hours as approved during month-end and year-end.
Job Overview: The Accounting Specialist manages day-to-day bookkeeping and the monthly accounting close for Ronald McDonald House San Antonio. This part-time position maintains accurate records in QuickBooks Online, reconciles accounts, prepares financial reports, and works with staff to obtain complete documentation and approvals.
Responsibilities & Duties
- Enter and code bills, deposits, credit card activity, and journal entries in QuickBooks Online, with supporting documents attached.
- Maintain accounts payable and receivable; prepare payments for an authorized signer to approve and release.
- Record contributions, pledge payments, and donor restrictions using documentation from Development.
- Reconcile bank and credit card accounts monthly and resolve outstanding items.
- Review payroll reports and record payroll and allocations after management approves payroll.
- Prepare monthly financial statements and budget versus actual reports for management review.
- Reconcile contribution activity with Development records monthly, documenting any timing or classification differences.
- Coordinate year-end records with the organization’s CPA or auditor.
- Make and receive phone calls as needed to coordinate with vendors.
- Identify opportunities to improve, streamline, and systemize accounting processes
- Assist with miscellaneous accounting and administrative tasks as needed
Education level: High School Diploma required, college degree a plus.
Specific Skills
- Demonstrated experience in bookkeeping or accounting
- High proficiency in QuickBooks (preferably QuickBooks Online)
- Ability to communicate professionally with vendors, donors, staff, and the auditor
- Comprehensive knowledge of basic accounting principles and reconciliations
- Exceptional organizational and time-management abilities
- Capacity to work independently and show initiative
- Willingness to research accounting inquiries and learn new systems
- Strong focus on detail and accuracy
Experience: At least three years of experience in bookkeeping services

Physical Demands
- Sits at desk 80-90% of the day.
