Position Summary
The HACCP Coordinator plays a vital role in maintaining and expanding our HACCP Food Safety Program and Sustainable Seafood Commitment. This position ensures compliance with federal regulations while supporting our mission to provide safe, traceable, and responsibly sourced seafood products.
The ideal candidate has a strong understanding of FDA, FSMA, FDA Section 204, and global food safety standards, and thrives in a fast-paced, detail-driven environment.
Key Responsibilities
HACCP Program Management
- Assist in developing, maintaining, and updating the HACCP Plan
- Manage HACCP team documentation, including team lists and annual meeting minutes
- Oversee HACCP plan implementation across all facilities, including satellite locations (Pittsburgh, Orlando, Las Vegas)
- Conduct monthly virtual meetings with satellite Food Safety Managers
- Review State, FDA, and Shellfish audit results and support remediation of non-conformances
- Process temperature monitoring devices and evaluate incoming shipments
- Approve shipments, including crabmeat TTIs
- Oversee temperature compliance and daily HACCP operations, including remote facilities
Monitoring & Compliance
- Conduct a minimum of two daily facility walkthroughs to ensure food safety compliance
- Monitor water and air temperatures and report findings to management
- Maintain overall facility health and compliance within cold storage environments
- Process and store weekly temperature logger data
- Perform one scheduled overnight shift per month to conduct third-shift HACCP/food safety compliance audits
- Support implementation of enhanced environmental testing protocols
Systems, Traceability & ERP
- Post daily orders to the traceability register system
- Support development and enhancement of traceability software and ERP systems
- Maintain accurate product traceability records in alignment with evolving industry standards
- Assist in development of a new vendor onboarding portal and related data systems
- Monitor and maintain lobster holding systems
- Schedule and oversee system maintenance, including cleanouts and water changes
Regulatory Programs & Certifications
- Support compliance with SQF Food Safety Code (FSC 9 – Seafood Processing), including processing, transport, storage, and value-added operations (e.g., cutting, smoking, freezing, vacuum packing)
- Ensure alignment with SQF standards as recognized by the Global Food Safety Initiative (GFSI), supporting certification and audit readiness
- Manage NOAA Highly Migratory Species (HMS) reporting requirements, including accurate and timely electronic submission for tuna and swordfish imports
- Support Live Shellfish Monitoring Program requirements and data management in compliance with the National Shellfish Sanitation Program (NSSP) and PA Department of Agriculture
Testing, Audits & Inspections
- Coordinate biweekly E. coli and Salmonella swabs with third-party labs
- Conduct biweekly shellfish tracebacks and annual mock recalls
- Support third-party audits, SQF certification audits, and regulatory inspections
Retail, Food Service & Customer Compliance
- Support HACCP plan management for retail and commissary locations (Giuseppe’s, Ippolito’s, Prima Donna’s)
- Manage and respond to retail, food service, and restaurant group customer questionnaires and compliance requirements
- Monitor State and City permits and licenses to ensure compliance and validity
- Coordinate pest control programs and documentation
Vendor & Customer Relations
- Respond to vendor and customer inquiries related to food safety
- Manage annual vendor documentation and compliance records
Documentation & Recordkeeping
Maintain and update critical food safety and compliance documents, including:
- HACCP and internal audit records
- Employee training and sanitation logs
- Temperature logs, charts, and calibration records
- Product complaint and foodborne illness reports
- Traceability, recall, and food defense documentation
- SOPs, GMPs, and Crisis Management Plans
- Federal, State, and municipal permits and licenses across all locations
Required Skills & Competencies
- Proficiency in Microsoft Office Suite or equivalent
- Working knowledge of ERP systems and data management platforms
- Strong organizational skills with exceptional attention to detail
- Ability to manage multiple priorities and meet tight deadlines

Preferred Qualifications
- HACCP experience
- Experience with SQF or other GFSI-benchmarked food safety standards
- NOAA reporting experience, particularly HMS imports (tuna, swordfish)
- Experience in the seafood, restaurant, or food distribution industry
- Familiarity with cold storage warehouse environments
- Experience supporting shellfish compliance programs (NSSP)
- At least 1 year of administrative assistant experience
- Associate’s Degree (preferred)
