Overview
Saltz Plastic Surgery & Spa Vitoria is seeking a highly organized, detail-oriented, and professional Administrative Surgical Coordinator to support our two board-certified plastic surgeons. This full-time role is the backbone of our surgical operations—responsible for managing schedules, handling billing and payments, preparing documentation, and ensuring all EMR records are accurate and up to date.
The ideal candidate is an administrative powerhouse who thrives on logistics, accuracy, and creating smooth processes for both patients and providers. You will work closely with our clinical, surgical, and sales/marketing teams to ensure every patient’s experience is efficient, compliant, and seamless.
Key ResponsibilitiesScheduling & Coordination
- Manage and optimize surgical calendars for two plastic surgeons.
- Coordinate with patients, nurses, operating facilities, and surgical staff to ensure readiness.
- Works closely with the surgical team to ensure seamless
- Communicate with sales and marketing teams to verify that their steps in the patient journey are complete.
Billing & Payments
- Verify that all surgeries are paid in full prior to pre-op.
- Ensure payments are collected and posted in a timely manner.
- Process billing and reconcile payments post-operatively.
- Maintain accurate financial documentation in EMR systems.
Scheduling & EMR
- Maintain accurate and timely records in the EMR (Symplast preferred).
- Manage the clinic day scheduled and ensure it’s efficient and patients have completed intakes, confirmed appointments, and been contacted.
Administrative Support
- Handle incoming inquiries by phone, email, text, and patient portal with professionalism.
- Manage patient correspondence and triage non-clinical questions.
- Assist with general administrative needs of the surgical team.
Qualifications
- 2 years of experience in administration in a medical office, scheduling, or billing (plastic surgery or aesthetics preferred).
- Advanced degree required.
- Strong working knowledge of EMR systems (Symplast preferred).
- Highly organized, detail-oriented, and comfortable managing multiple priorities.
- Excellent communication and professional phone etiquette.
- Able to handle sensitive information with discretion and integrity.
- Reliable transportation and willingness to commute between Salt Lake City and Park City.

- Position includes a 90-day probationary period with structured performance review.
