Executive & Personal Assistant Clearwater, FL – Full Time
We are a small but growing medical practice seeking an experienced, highly organized Executive & Personal Assistant to support our chief executive team – Chief Medical Officer and Chief Executive Officer. This is a unique, hands-on role blending executive-level administrative support with personal and household coordination. What You’ll Do
• Manage and coordinate multiple calendars (business, medical, legal, and personal).
• Schedule appointments, travel, and events; prepare meeting materials and track follow-ups.
• Oversee facility and household projects: vendors, repairs, inspections, and special projects.
• Handle confidential personal matters and household logistics with discretion.
• Support expert witness and pharmaceutical speaking engagements (contracts, scheduling, tracking payments).
• Research vendors and purchases, present clear options, and coordinate implementation.
• Maintain organized records, files, and administrative systems for business and household needs.
What We’re Looking For
• 3-5 years as an Executive Assistant, Personal Assistant, or Operations Coordinator (medical/legal experience a plus).
• Exceptional organizational, time-management, and multitasking skills.
• Comfortable interacting with vendors, contractors, attorneys, and medical professionals.
• Tech-savvy with Microsoft Office, Google Workspace, and online scheduling tools.
• Discreet, trustworthy, and proactive with a strong service mindset.
• Flexible and resourceful: able to switch between executive and personal support seamlessly.
Schedule and Compensation
• Full-time, primarily on-site in Clearwater with some flexibility for remote tasks.
• Competitive salary commensurate with experience; paid time off and other benefits negotiable.
