Department: Administration The Administrative Assistant works under the direction of the Chief Officer. The Administrative Assistant position provides high-level confidential administrative and office support, demonstrating outstanding organizational skills, and has the ability to work well with all levels of internal management and staff, outside clients and vendors. Receives incoming calls and emails; takes messages, respond appropriately, and routes correspondence to the appropriate executive of staff member. Maintains an organized filing system of paper and electronic documents. Creates and distributes internal and external communications at the direction of Chief Officer. Prepares agendas, assembles data, sets up and coordinates arrangements for meetings. Records and transcribes minutes of meetings as assigned by Chief Officer. Works as a member of the team, willingly provides back‐up support for co‐workers when appropriate and actively supports group goals. Assures the Chief Officer is aware of sensitive matters, conflicts or required actions. Serves as a liaison and facilitates communication between the Chief Officer and various individuals and representative from other departments, agencies and the public. Maintains highly sensitive and confidential materials. Provides a high level of administrative support to the Chief Officer daily and their directors and managers as needed. Establishes and maintains efficient and organized day-to-day operations and determine which items can be responded to independently and which items may need immediate attention. Provides sophisticated schedule and calendar management; makes and confirms travel arrangements and arranges meetings, gathers information, contacts meeting participants and provides reminders as needed. Provides backup/alternate high-level administrative support to other executives as needed. Performs other duties as assigned. Education: Position requires a high school diploma or GED. Bachelor’s Degree preferred. Licensure: None. Experience: Three (3) years of senior-level or executive administrative support or executive assistance experience required. Department Specific Duties: Creates and distributes internal and external communications at the direction of the Chief Officer. Takes and publishes meeting minutes as assigned Pay Range: The hourly rate for this position is $42.36 - $48.00. The range displayed on this job posting reflects the target for new hire salaries for this position.
