Role:
Responsible for predicting and planning the needs of the department. The Nursing Program Coordinator will anticipate potential conflicts and prioritize tasks based on urgency and importance while considering the overall objectives of the nursing program.
Major Duties and Responsibilities:
- Oversee daily office operations and ensure efficient workflow
- Assist and make recommendations in the development of departmental policies and procedures to enhance operational effectiveness
- Implement organizations systems to improve efficiency in office program management
- Plan and orchestrate work to ensure that the Assistant Dean of Nursing’s priorities are met, organizational goals are achieved, and best practices are upheld
- Manage communication with Assistant Dean of Nursing by liaising with internal and external stakeholders on various projects and tasks
- Prepare and edit e-mails, draft memos, and prepare communications on the Assistant Dean of Nursing’s behalf
- Collects data, research and formats for presentation purposes
- Oversee electronic calendar management, organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
- Maintain professional phone etiquette while managing incoming calls and inquiries regarding nursing program and college as a whole
- Organize and maintain both physical and electronic, comprehensive and accurate files, ensuring easy access to important documents
- Manage the review and process of new nursing student applications
- Manage accreditation documents and participate in accreditation process
- Performing minor accounting duties
- Prepares faculty travel requests and reimbursement forms; assist faculty with conference registration and travel
- Prepare and track purchase requisition/orders; order and maintain office and lab supplies
- Assist with interviewing for faculty or staff assistant positions; prepare documents for onboarding process
- Prepare documents for personnel status change
- Serves as back-up for other administrative support roles within the department
- Performs other duties as assigned
Knowledge and Skills:
Education Associate’s degree or equivalent years’ experience
Experience Five plus years of extensive related experience with proven program management and customer service skills required.
Interpersonal Skills Excellent interpersonal skills to foster a collaborative working environment. Demonstrate ability to interact with all service populations ensuring accurate and effective communication. Maintaining discretion when handling sensitive and confidential information.
Technical Skills Proficiency with current hardware and software including ERP systems and excellent skills in all Microsoft Office products and Internet; possess an aptitude for learning new software and systems, project management software, and communication platforms; extensive knowledge to manage databases.
Other Skills Knowledge of the college and departmental policies and procedures. Excellent time management skills and follow-up skills necessary to perform in a fast-paced environment to meet deadlines. Extensive experience with office and project management. Excellent verbal and written communication skills. Strong organizational skills and ability to multitask. Strong problem-solving, decision making and ability to work independently. Proactivity and self-direction. Experience in developing internal processes and both physical and digital filing systems. Experience in overseeing budgets and expenses.
Physical Requirements The work is mostly sedentary; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc. No special physical demands are required to perform the work.
Work Environment Regular exposure to favorable conditions such as those found in a normal office.
