We are seeking an experienced Records Clerk to support our growing litigation practice. This role is critical to our liability and first-party property defense teams and will focus on securing medical and other third-party records necessary for case evaluation, depositions, mediation, and trial.
This position may be fully remote for the right candidate with demonstrated experience and strong independent work habits.
Primary Responsibilities
• Draft, issue, and manage subpoenas to medical providers and other non-parties
• Track and follow up on outstanding records requests
• Secure medical records, billing records, diagnostic films, and itemized statements
• Coordinate with providers regarding compliance and production timelines
• Calendar response deadlines and maintain accurate tracking systems
• Prepare motions to show cause or related filings when non-parties fail to comply
• Communicate with attorneys regarding status updates and production gaps
• Ensure records are properly organized and uploaded into case management systems
• Work closely with liability attorneys handling personal injury matters
Preferred Experience
• Prior experience in insurance defense or personal injury litigation
• Familiarity with medical record procurement processes
• Experience subpoenaing hospitals, imaging centers, chiropractors, surgical centers, and other healthcare providers
• Understanding of HIPAA authorizations and compliance requirements
• Experience securing diagnostic films and billing ledgers
• Familiarity with Florida litigation procedures preferred
