The Scheduler must acquire and apply enhanced knowledge of assigned clinical area to support assessment of patient appointment needs based on the review of provider notes and application of specialty/department guidelines. The Scheduler routinely collaborates with clinic staff, leadership, and providers and exemplifies the core values of the health system by providing exceptional customer service to all patients.

- Remote/Hybrid opportunity after 3 months
The Scheduler coordinates and schedules complex patient appointments, procedures, tests, and other services within a healthcare facility. The responsibilities of this position include scheduling appointments, coordinating services, verifying insurance, and ensuring all pre-emptive appointment requirements have been obtained. The Scheduler must acquire and apply enhanced knowledge of assigned clinical area to support assessment of patient appointment needs based on the review of provider notes and application of specialty/department guidelines. The Scheduler routinely collaborates with clinic staff, leadership, and providers and exemplifies the core values of the health system by providing exceptional customer service to all patients.
Key Responsibilities
- Schedule Appointments: Schedule services with complex scheduling needs, including tests, procedures, and treatments, in adherence with department guidelines and preferences. Monitor and efficiently manage all referral work queues for scheduling incoming patient appointments.
- Applied Knowledge: Demonstrate in-depth knowledge of assigned specialty and apply expertise to review appointment notes and assess patient scheduling needs (e.g., subspecialty, physician, or appointment type).
- Service Coordination: Coordinate patient appointments with other service areas (e.g., hospital operating room, lab, radiology, and other specialties) to ensure appropriate cadence of appointments based on patient need
- Customer Service: Provide exceptional customer service to patients, families, physicians, physician offices, the community, and internal departments throughout SLHS
- Communication: Communicate effectively to patients regarding appointment and provide instructions and/or education for tests and procedures as needed
- Peer Support: Assist with co-worker training and serves as a mentor
- Process Improvement: Ongoing participation in process improvement or special projects
- Provider Schedules: Update provider schedules/templates as needed
- Quality Performance: Achieve target scores within set department metrics
- Insurance Verification: Verify patient insurance eligibility and determine patient financial accountability according to policy
- Prior Authorization: Ensure prior authorization has been obtained and communicated to all appropriate parties and documented on the patient account. Ensure all pre-emptive requirements for scheduled appointment has been obtained, including prior testing, records, and other documentation.
