Job Summary
The Administrative Assistant reports to the Senior Vice President of Enhanced Family Foster Care (EFFC) and provides high-level administrative support to department leadership. This role supports the EFFC Administrative Team by coordinating the flow of information and communication, ensuring efficient office operations, and maintaining a well-organized work environment. The Administrative Assistant oversees the onboarding process for staff, office and file room coordination, including the organization, maintenance, and accessibility of records and supplies. Additionally, the role supports special projects such as maintaining the Enhanced Family Foster Care Department Manual, monitoring and managing departmental data, coordinating staff trainings, monitoring access to the Longwood office, and performing other duties as assigned.
Duties & Responsibilities
Participate in and take minutes for both internal meetings and meetings with external parties as needed. Schedule meetings, prepare and distribute the agenda and handouts and prepare minute notes for distribution as needed. Schedule and coordinate interviews for new staff as needed. Prepare and distribute written and electronic materials internally and to external parties, as needed. Provide general administrative support.
Education & Experience
High school diploma required. One (1) year of related experience required. Strong proficiency in Microsoft Office applications required.
Physical Requirements
While performing the duties of this job, the employee is regularly required to effectively communicate. The employee is required to stand; walk, feel and reach. The employee is occasionally required to sit and stoop, kneel or crouch. The employee must occasionally lift and/or move up to 25 pounds
