General Statement Of Responsibilities
The Dispatcher is responsible for ensuring the efficient scheduling and coordination of
transportation routes, trips, and drivers. The Dispatcher keeps the automated routing systems
current, manages field trip programs, schedules and performs related clerical duties in
support of departmental operations. This position requires effective communication with
parents, drivers, school staff, and transportation personnel to ensure timely and safe
transportation for students, staff, and other passengers. The Dispatcher plays a key role in
managing the day-to-day operations of the transportation department, troubleshooting issues
as they arise, and ensuring that all routes and trips run smoothly in compliance with safety
standards. Regular and timely attendance is necessary to perform the essential functions of
this position.
Minimum Qualifications
Must be at least 21 years of age with a High School Diploma or equivalent required.
Must obtain and maintain an IVP fingerprint card
Possess and maintains an Arizona Class B Driver's License with air brakes, passenger and
school bus endorsements.
Possess and maintain School Bus Driver Requirements per Arizona Student Transportation
Unit. Two Years Of Bus Driver's Experience Preferred.
Prior experience in dispatch or customer service role, preferable in a school transportation
environment.
Ability to work flexible hours, including early mornings, late afternoon/evening, split schedule,
and occasional weekends.

Dispatch and Route Coordination
Coordinates and schedules transportation routes for buses, including regular school routes,
extracurricular trips, and field trips.
Ensure that drivers are assigned to appropriate routes or field trips, and provide them will all
necessary trip information, including timing, route changes, and special instructions.
Manage driver schedules and availability, ensuring coverage for all routes and trips, and adjust
as needed for absences or emergencies.
Maintain bus route as it pertains to bus stop locations and times.
Maintain routing and field trip system up to date.
Assists the Chief Clerk with the maintenance of records, quotes, billing and files, and prepares
materials for State and special reports.
Communication and Support
Serve as the central point of contact for parents, drivers, school staff and transportation
personnel.
Ability to communicate effectively, both verbally and in writing.
Provide a high level of customer service to students, community members, parents, and district
staff members.
Dispatches by two-way communication radio or in person district buses, cars, and white fleet
vehicles with knowledge of according to FCC regulations.
Exhibits patience, courtesy and tact when dealing with others.
Problem-Solving And Issue Resolution
Respond promptly to transportation issues, such as vehicle breakdowns, accidents, delays,
and provide minimal disruption to the schedule.
Ability to communicate effectively and calmly in emergency situations.
Ability to handle confrontation and conflict without an overly emotional response.
Ability to apply good judgment and understanding to solve practical problems and deal with a
variety of situations and personalities.
Record Keeping and Documentation
Prepares and submits reports and other information as required, accurately and in a timely
manner.
Documents and reports of any accidents or safety concerns.
Knowledge, Skills and Abilities: Knowledge of applicable Federal and State laws, District procedures and Board policies.
Performs related duties as required.
Performs additional responsibilities and procedures as listed in the Employee Handbook.
Physical Demands
The physical demands described here are representative of those that must be met by an
employee to successfully perform the essential functions of the job.
Must be able to meet requirements of Arizona Department of Public Safety Physical
Performance Test. The employee may be required to lower a 30-pound object from floor level
emergency exit to ground and lift from floor level emergency exit and drag 125-pound object
30 feet in 30 seconds.
While performing the duties of this job, the employee is required to reach with hands and arms.
The employee is frequently required to climb, stand, bend, twist, stoop, and walk, and sit for
extended periods while performing dispatch duties. There are situations where the employee
May Be Required To Move About a Moving Bus.
Work Environment
Work is performed in an office setting, but the position may require the driving of a school bus
with students, while observing safe bus operations and student management.
While performing the duties the employee may be exposed to all weather conditions,
temperatures, and traffic conditions.
Exposure to noise, dust, gas, chemicals, bodily fluids and fumes.
The noise level in the work environment is generally moderate and may become excessively
noisy at times.
The position may involve working outside normal business hours, including early mornings,
late afternoons/evenings, or weekends, to ensure transportation schedules are met.
