The Front Office Administrator is the first point of contact for patients and strives to deliver a positive and welcoming experience in every interaction. This position plays an important role in the continuity of care by providing administrative support to patients and stakeholders through appointment scheduling, processing paperwork, and handling inquiries. Nystrom & Associates is a team of mental health professionals that specialize in psychiatric evaluations, clinical social work, and family therapy. We are committed to helping patients in our community who are experiencing personal, emotional, marriage, family or psychological problems. Founded in 1991, we offer an intensive outpatient substance use disorder program, psychological testing, and behavioral health and medication management services.
Hours: (Must be able to work one of the following shifts listed below)
Monday - Friday 11:30AM-8:00PM
**Eligible shift differential for hours worked past 6PM**.
Job Duties:
- Interacts with all patients and visitors with warmth and professionalismCheck-in patients for appointments, verify demographic information, provide paperwork, and collect paymentsEnsure seamless coordination of care by scheduling patient appointments and collaborating with providers using multiple computer systemsParticipate in administrative tasks such as electronic filing, scanning, faxing, mailing in a timely mannerAnswer inbound and make outbound phone calls while responding to inquiries in a prompt and courteous manner, providing accurate information or triaging as appropriateMaintain a clean and organized front desk and waiting room space by managing patient paperwork, office supplies, and other amenitiesHandle patient concerns and crises with empathy and patience while collaborating with site leadership to resolve, as neededAttend mandatory meetings and trainingsOther duties as assigned

Qualifications:
- Highschool diploma or equivalent
- Experience working in health care facilities and an interest in behavioral health preferred
- Ability to prioritize responsibilities in a fast-paced environment
- Strong attention to detail
- Positive attitude
- Proficiency in technology and computer use including Microsoft Office Suite
- Strong communication and interpersonal skills, both written and verbal
- Ability to manage stress while navigating difficult situations and escalated patient interactions
- Keep all business information strictly confidential
- Commitment to position for minimum of 1 year
