Job Summary:
The Catering and Conference Services Manager (CCSM) will assist the Sales manager in coordinating all functions and events, as well as provide administrative support to the Department. The CCSM is responsible for coordinating and detailing the event after sale is completed with the client. Additionally, this position is responsible for managing convention services to ensure a high degree of customer satisfaction, generate increased revenues, expand market share, and nurture return business.
Job Duties:
- The CCSC will act as the onsite contact for all assigned groups. He/she will ensure that all special arrangements related to Food and Beverage, Audio Visual, room set-up, and other special requests are properly documented on Banquet Event Orders (BEO) and signed by authorized representatives of the group.
- Ensures the timely distribution of BEO’s to all appropriate departments in the hotel and follows up on any questions. Maintains positive guest and employee relations through prompt, precise, and courteous communication.
- Leads weekly BEO meeting with all hotel departments
- Maintains detailed files, notes, records, and trace systems to ensure event meets with customer expectations. Finalizes the program /agenda with client and checks all scheduled functions are set to commence on time.
- Properly prepare invoices for clients after consumption of event to ensure timely receipt of payment.
- Provide administrative support for the Sales & Catering Department, to include typing, filing, tracing, answering telephones, printing reports and departmental records/logs as needed.
- Handle inquiry calls according to departmental procedures.
- Qualify room space requests. Type correspondence letters and generate report ensuring timely completion. Make telephone calls to specified individuals.
- Greet all individuals arriving at offices courteously and assist with their needs.
- Establish and maintain a filing system procedure for preparing new client files.
- Ability to communicate with proper grammar in English with guests/visitors and Hotel personnel to their understanding. Communication between hotel departments, client needs
- Supervising Banquet and events team, hiring, scheduling, training
- Setting up events and banquet staff for success
- All other duties as assigned.
Qualifications:
- Self-starting personality with an even disposition.
- Ability to work 40 hours per week and overtime as needed
- Two years in a position requiring skills/abilities similar or equal to that of a Convention Manager
- Microsoft Outlook, Salesforce Amadeus, Skytouch Hospitality a plus
- Bilingual a plus
- Experience in hotel sales, food and beverage and catering events
- Excellent verbal and written communication

- Leadership, coaching, supervising teams up to 10 people
- Maintain a professional appearance and manner at all times, upholding company policies.
- May be required to stand and walk for long periods of time, bending, lifting 20 lbs at times.

Pay: $18.00 - $20.00 per hour
