Overview
The Guest Concierge serves as the primary point of contact for patients and visitors and plays a vital role in the daily flow of the clinic. This position is responsible for creating a warm, professional, and organized front desk environment while managing scheduling, communication, and administrative tasks.
This role requires someone aligned with Sage & Sol’s mission, with a genuine interest in wellness, integrative, and holistic healthcare. The front desk sets the tone for the entire clinic, so this position requires emotional intelligence, attention to detail, and the ability to remain calm and professional in a fast-paced environment with high-needs patients.
Key Responsibilities
- Greet and check in patients and guests with warmth and professionalism
- Schedule appointments and manage patient flow according to provider availability and clinic protocols
- Answer and manage all communication channels (phone, text, email, voicemail) promptly and professionally
- Manage check-in/check-out, payments, and invoicing (Square)
- Maintain accurate patient records in EMR systems (Healthie)
- Coordinate communication with providers, medical assistants, and administrative staff
- Track and document patient communication in daily logs
- Assist with administrative tasks including documentation, refills, superbills, and data entry
- Maintain cleanliness, organization, and stocking of front desk and common areas
- Support facility tasks including light laundry, beverage station, inventory, and supply organization
- Complete daily opening and closing procedures, ensuring the clinic is prepared and reset each day
Requirements & Skills
- Previous front desk, administrative, or customer service experience (medical office preferred)
- Strong organizational skills with attention to detail and ability to multitask
- Excellent communication skills across all platforms (in person, phone, text, email)
- Professional, calm, and supportive demeanor—especially with high-needs or stressed patients
- Comfortable using multiple systems (Healthie, Weave, Square, Outlook, Google Workspace)
- Strong computer literacy including data entry and record management
- Ability to follow clinic systems, protocols, and HIPAA guidelines consistently
- Interest in wellness, integrative medicine, or holistic healthcare preferred
- Bilingual (English/Spanish) is a plus
