Job Overview
We are seeking a dynamic and highly organized Office Assistant to join our team! This energetic role is vital in ensuring the smooth operation of our office environment. The ideal candidate will bring a proactive attitude, excellent communication skills, and a passion for providing exceptional administrative support. As an Office Assistant, you will handle a variety of clerical duties to create an efficient and welcoming workplace. This paid position offers an exciting opportunity in a supportive environment.
Responsibilities include, but are not limited to:
- Reception: Light phone calls and greeting.
- Administrative support: Providing general staff support, performing data entry tasks accurately.
- Mail: Handling mail and deliveries (outgoing and incoming), checking the PO Box and onsite mailbox twice a week and distributing it to the appropriate individual(s).
- Office coordination: Managing calendars (scheduling appointments, conference room bookings, and arranging meetings). Further, coordinating Firm meetings, lunches, and events.
- Office maintenance: Maintain organized filing systems, both physical and digital, to ensure quick retrieval of documents. Keeping the filing room organized. Keeping the copy room stocked with office supplies. Keeping the kitchen stocked with supplies and snacks. (Ability to lift boxes up to 50lbs). Maintaining equipment (printers, copiers, monitors, etc.). Keeping common areas tidy to help maintain a clean, efficient, and organized work environment.
Requirements
- High school diploma or equivalent.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
- Ability to adapt to various productivity software and technical tools.
- Excellent verbal and written communication.
- Strong attention to detail for proofreading documents and data entry accuracy.
- Ability to manage time efficiently while handling multiple tasks in a fast-paced environment.
