Job Title: House Manager (with Meal Prep Support)

Location: Buffalo, NY (14216)

Employment Type: Part-Time (15-18 hours/week, 15 hours guaranteed)

Schedule: Monday-Thursday, flexible afternoon/early evening availability

Compensation: $25-$30/hour, based on experience

Start Date: ASAP

We are a busy family of 5 with three kids aged 12, 10, and 6 (plus a mini goldendoodle!), committed to maintaining a sense of calm and order amid the demands of everyday life. Whether it’s managing the laundry schedule, coordinating grocery shopping, or overseeing household projects, you excel at staying ahead of the curve and creating systems that keep everything in order. Meal prep is an integral part of this role, and you take pride in planning and preparing healthy, kid-friendly meals that help alleviate stress around mealtime. You have an interest in assisting with administrative tasks related to the family business, bringing an organized, project management lens. You’re focused on building a long-term, sustainable partnership, understanding that the consistency you provide will play a vital role in supporting the family’s evolving needs over time.

Key Responsibilities:

Household Management & Organization

  • Create and maintain household organization systems (closets, storage, pantry, toys)
  • Reset and tidy rooms daily; maintain overall neatness, ensure home is prepped for cleaning services (every other week)
  • Load/unload dishwasher, wipe surfaces, vacuum high traffic areas
  • Awareness and oversight of household schedules and calendars (Skylight knowledge is a bonus)
  • Conduct seasonal swaps (clothing, décor, bedding, etc.)
  • Prepare for family events, holidays, and guest stays
  • Prepare and coordinate donation drop offs and pick ups
  • Support packing/unpacking for travel or seasonal transitions
  • Supervise or coordinate with service providers/vendors (e.g., handymen, cleaners, landscapers)
  • Maintain indoor plants

Meal Planning & Preparation

  • Plan and prep healthy meals/snacks for the family
  • Pack school lunches (1 kid, as needed)
  • Prep lunches for parent to take to work (4x weekly)
  • Batch-cook weekly meals (2-3x weekly, kid friendly)
  • Shop for groceries and meal-related items
  • Follow dietary needs and family preferences (kid friendly, healthy)
  • Clean kitchen post-prep and manage kitchen tidiness

Inventory Management & Errands

  • Track and restock pantry, fridge, toiletries, household supplies
  • Create and manage running household supply lists
  • Coordinate and manage household orders (Amazon, Costco, Target, etc.)
  • Run errands: grocery shopping, returns, dry cleaning, gift shopping
  • Handle package pickup, mail sorting, and deliveries

Laundry & Linen Care

  • Wash, dry, fold, and organize family laundry (e.g., clothing, bedding, towels)
  • Manage linens: rotate bedding, refresh towels, restock essentials
  • Keep laundry areas tidy and well-stocked with supplies
  • Handle special care for delicates or uniforms

Family Support & Child Assistance

  • Assist with school/activity pick-ups or drop-offs
  • Light supervision, playtime, or back-up childcare
  • Occasional date night coverage
  • Prep backpacks, clothing, or snacks for school
  • Help with child-related laundry or errands

Vendor & Property Oversight

  • Research and coordinate repairs, maintenance, and quotes
  • Manage routine upkeep across the property
  • Oversee outdoor spaces and seasonal maintenance needs (hot tub maintenance and schedule)
  • Serve as primary contact for vendors or guests

Deep Cleaning & Special Projects

  • Tackle occasional deep cleans (fridge, oven, baseboards, etc.)
  • Maintain and refresh specific zones (entryways, garage, mudroom)
  • Clean humidifiers, washing machines, and air purifiers monthly
  • Organize special projects: toy storage, seasonal decorations, gear rotation

Administrative & Personal Assistant Support

  • Help with day-to-day scheduling, and logistics
  • Manage family calendars and reminders
  • Handle basic budgeting or receipt tracking for expenses incurred as House Manager
  • Assist with coordination of events, appointments, and guest prep
  • Occasional administrative assistance with family business

Pet Care

  • Occasionally walk dog

Vehicle Management

  • Schedule and oversee maintenance, oil changes, and inspections
