The State of New Hampshire, Department of Safety, Division of State Police, Business and Project Administration has a full-time vacancy for a Detail Desk Assistant (43-9060 OFC CLERKS GENERAL-4) which has a 37.5 hour work week and is considered non-exempt.
Summary:
Coordinates the scheduling and assignment of State Police personnel to public safety details for construction sites, special escorts or other commercial assignments. Communicates with private business representatives, maintains records and prepares financial documentation in support of the Detail Desk.
YOUR EXPERIENCE COUNTS: Each additional year of approved formal education may be substituted for one year of required work experience and/or each additional year of approved work experience may be substituted for one year of required formal education.
MINIMUM QUALIFICATIONS:
Education/Experience: Equivalent combination of 2.5 years of education and experience after completion of high school. Education and experience must be in the fields of business, communications, public administration or a related field
License/Certification: None
Other Requirements: Must pass a comprehensive background check in addition to a fingerprint-based criminal background check and motor vehicle record check.
Trainee Option: Candidates with an equivalent combination of 1.5+ years of relevant education and experience after completion of high school may be considered and hired in ‘trainee status’ for this position.
PREFERRED QUALIFICATIONS: Experience in customer service or multi-tasking operations preferred.

When applicable, the work of an employee in trainee status in this position shall be overseen by a fully qualified individual. An employee in trainee status shall meet the minimum qualifications within the period of time specified on the SJD, not to exceed one year of being hired into this position.
Responsibilities:
Assigns State Police division personnel to specific paid public safety details, ensuring impartial distribution of work opportunities and proper utilization of personnel availability. Resolves scheduling issues by assessing assignments and notifying personnel and contractors when paid detail work is changed or cancelled.
Coordinates with contractors to determine the location, duration and type of paid public safety detail work assignment requested and monitors the completion of all assignments.
Collects completed detail vouchers submitted by division personnel and reconciles that the work performed matches the assignment. Generates invoices for submittal to the Department of Safety Bureau of Financial and Planning Management for processing and sends invoice to the contractor.
Utilizes a specialized database to retrieve and update information on scheduled details such as contractors, participants, dates, times, locations and hours worked to maintain accurate records used for inquiries, to generate reports and to obtain metrics as needed by leadership.
Responds to questions from private businesses and troop personnel concerning program policies, procedures and requirements for paid public safety details.
Maintains accurate files of invoices, applications, vouchers, correspondence, and other related documentation supporting paid public safety details to ensure compliance with Division policies and procedures.
Ensures that new or renewal contractor application submissions are complete and verifies good standing status prior to scheduling paid public safety detail services. Refers ineligible contractor applications to supervisor for review and processing.
Provides guidance and training to other administrative employees performing Detail Desk related tasks.
