Job Posting: Clinical Director Assistant

Position Overview:
We are seeking a dynamic and detail-oriented Clinical Director Assistant to support the Clinical Director in overseeing the delivery of exceptional services to adults with Intellectual and Developmental Disabilities (IDD) and autism. This role requires strong organizational, administrative, and interpersonal skills to manage critical tasks and maintain smooth clinical operations.

Key Responsibilities:Administrative Support:

  • Review and verify documentation for accuracy, compliance, and completeness.
  • Submit reports, documents, and client data to online databases and maintain organized digital and physical filing systems.
  • Track deadlines for documentation and ensure timely submissions to regulatory bodies and stakeholders.
  • Draft correspondence, meeting minutes, and internal communications on behalf of the Clinical Director.

Staff Coordination:

  • Communicate with staff regarding documentation corrections, updates, or additional information needed.
  • Monitor staff compliance with policies and procedures related to clinical documentation and report issues as needed.
  • Assist in coordinating staff training sessions and workshops.

Investigation Support:

  • Collect, organize, and compile investigation-related documentation, ensuring all information is accurate and complete.
  • Track investigation timelines and follow up with staff to ensure compliance with internal policies and external regulations.

Care Plan & Client Support:

  • Prepare and distribute annual care plans, ensuring all necessary signatures and approvals are obtained.
  • Schedule and attend care meetings, providing detailed notes and action plans.
  • Create individualized social stories to assist clients in understanding transitions, activities, or new routines.
  • Assist clients with online grocery shopping, appointment scheduling, and other essential daily living tasks as needed.

Guardian & Stakeholder Communication:

  • Serve as a liaison between clients, guardians, case managers, and external service providers.
  • Respond promptly to inquiries and provide updates on client care, documentation, and ongoing activities.
  • Attend case management meetings and advocate for clients' needs and preferences.

Compliance & Quality Assurance:

  • Monitor compliance with state and federal regulations, including Section 21 Waiver requirements.
  • Conduct periodic audits of client files and clinical binders to ensure documentation is current and accurate.
  • Collaborate with the Clinical Director to develop and implement process improvements.

Data Management & Reporting:

  • Maintain and update Electronic Health Records (EHR) systems with accurate client information and progress notes.
  • Generate reports on service delivery, compliance status, and client outcomes for internal and external stakeholders.

Event & Program Support:

  • Assist in the coordination and planning of special events, outings, and recreational activities for clients.
  • Support the Clinical Director in developing new programs and initiatives to enhance client services.

Qualifications:Required:

  • Exceptional customer service and communication skills.
  • Strong organizational and time-management abilities, with attention to detail.
  • Proficiency in Microsoft Word, Google Drive, and Electronic Health Record (EHR) systems.
  • Ability to manage multiple tasks and deadlines effectively in a fast-paced environment.
  • Ability to handle confidential information with integrity and professionalism.

Preferred:

  • Experience working with adults with IDD, autism, or other developmental disabilities.
  • Knowledge of Section 21 Waiver Services and state regulations governing IDD services.
  • Experience in case management, care coordination, or administrative support in a healthcare or social services setting.
  • Experience creating individualized support tools such as social stories, visual schedules, and communication boards.
  • Familiarity with crisis management and de-escalation techniques.
