Supervises two FMS staff members, including Facilities/Mailroom/Administrative roles as assigned, to support the goals and objectives of the Facilities Maintenance & Security (FMS) department. Assists in implementing and monitoring departmental practices to ensure SAFE facilities are well-maintained and securely operated, including coordination of vendors, purchasing support, equipment maintenance, inventory control, corporate mailroom functions, work order ticketing, and general facility operations.
Ensures daily assigned tickets are appropriately prioritized, assigned, and completed. Coordinates small facility projects and assists the VP, Facilities & Physical Security with space planning, property operations, budgeting support, life safety and security tasks, and contract administration support.
Carries out supervisory responsibilities in accordance with SAFE policies and applicable laws. Responsibilities include assisting with interviewing and training employees; planning and assigning daily work; providing coaching; addressing concerns; and contributing to performance evaluations.
Essential Functions And Basic Duties
EDUCATION/CERTIFICATION:
High school diploma or GED required. Coursework or certifications in facilities management preferred.
Three to five years of experience working in a facilities support role, with supervisory or lead experience preferred.
Required Knowledge
Basic knowledge of building operations, maintenance practices, and property operations.
Familiarity with contract coordination, vendor management, and work order systems.
Experience Required
Experience supporting secure or sensitive environments preferred.

Essential Functions And Basic Duties
- Support management of SAFE’s real properties and associated assets, including communication with landlords, tenants, and branch occupants to ensure properties are well-maintained and operating safely.
- Assist with space planning, furniture coordination, and equipment purchasing/disposition under the direction of the VP, Facilities & Physical Security.
- Provide budget support, including tracking GL accounts, monitoring expenses, and assisting with variance explanations.
- Coordinate facility-related vendors, including scheduling, access, and monitoring vendor performance; escalate concerns as needed.
- Serve as liaison with public utility, environmental, and energy agencies on routine matters.
- Supervise and oversee work order ticket requests, assigning workload to two direct reports; follow up on open tickets; run basic service reports; recommend process improvements.
- Support administration of FMS-related contracts, including gathering specifications, documentation, and coordinating contract-related activities.
- Ensure corporate mailroom operations function efficiently and meet service levels.
- Support SAFE’s fire life safety and physical security requirements, including inspections and basic compliance tasks.
- Assist in developing and updating FMS procedures as needed.
- Assist VP, Facilities & Physical Security with invoice review, basic issue resolution, and vendor communication.
- Assist with departmental software and hardware needs, including purchasing and implementation coordination.
- Complete other duties as assigned.
