The Front Desk Assistant is responsible for overseeing all aspects for the front desk and call center operations, ensuring efficient patient scheduling, registration, and customer service. This role maintains financial transactions and ensures seamless patient experience while upholding office policies and procedures.
Duties and Responsibilities:
- Greet patients and visitors, ensuring a welcoming and professional environment.
- Manage high volume inbound calls, providing timely and professional responses to inquiries.
- Schedule patient appointments accurately and efficiently.
- Perform pre-registration intake for new patients, ensuring complete and accurate demographic, financial, and scheduling information.
- Collect estimates and process patient payments, maintaining accurate financial records.
- Monitor and manage the appointment schedule to maximize efficiency and patient flow.
- Confirm patient appointments and perform reminder calls. Maintain and update patient records, ensuring accuracy and compliance with office policies.
- Handle patient concerns and direct complex inquiries to the appropriate department or personnel.
- Maintain office supplies and oversee the organization and cleanliness of the reception area.
- Check voicemail, email, texts and faxes daily, responding in a timely manner.
- Post insurance information in Open Dental and maintain up-to-date patient billing information.
- Open and close the office as needed, ensuring readiness of the front desk area. Maintain confidentiality of patient information in accordance with HIPAA regulations.

Education & Experience:
- High school diploma or GED required; associate’s degree preferred.
- Two to four years of experience in a front desk, call center, or medical office setting preferred.
Knowledge, skills, and Abilities:
- Excellent customer service and communication skills.
- Strong organizational and time management abilities.
- Proficiency in Microsoft Office, Open Dental, and other relevant software.
- Ability to multitask in a fast-paced environment while maintaining professionalism.
- Knowledge of medical office procedures and HIPAA compliance.
- Ability to work with mathematical concepts such as percentages and ratios.
- Strong problem-solving and critical-thinking skills.
Physical Demands & Work Environment:
The work environment is typically moderate in noise level. The employee is regularly required to sit, stand, walk, use hands, and talk or hear. Occasional lifting of up to 15 pounds may be required.
