ESSENTIAL DUTIES AND RESPONSIBILITIES
The Assistant Principal of Operations ensures there is strong consistency and predictability of the daily operations of the school and fidelity to all school compliance metrics. The AP of Operations will manage MAP, Renweb, Clever, and other data-related platforms and oversee school compliance with CSO, EEC, DESE, BPS, and other governing bodies’ initiatives. The AP is an integral member of the Leadership Team and is responsible for overseeing the daily operation of the front office and other adhoc responsibilities as requested by the Principal. The role will include, but is not limited to:
Leadership Responsibilities < 20% of time >
Support the Principal with setting vision, key annual goals, and strategy for the school. Support with driving the goals and strategies.
Coordinates with the Assistant Principal of Engagement to ensure seamless day-to-day school operations, maintaining continuity and stability so the school functions effectively in the principal’s absence.
Collaborate with the principal and Business Manager to establish short- and long-term budgeting plans, especially in areas of: school operations, admissions, retention, and marketing.
Supervise Front Office Secretary and the Compliance Team (Special Education, EEC, CSO, and Cafeteria) team to drive towards JD outcomes and coach as needed.
Model leadership, integrity, and flexibility, including during times when stepping into other roles is needed.
Connect positively with the staff and ensure a safe, clean, and aesthetically welcoming environment.
Interface with scholars, families, and external stakeholders as called for by school operations.
Represent the principal when the principal cannot be present.
School Operations: < 80% of time >
Internal Operations:
Manage scholar data, including testing and the scholar information system (MAP, Renweb, LAS Links), and support staff with access and implementation.
Maintain the educational online platforms, including but not limited to Instruction Planner, Clever, IXL, Great Minds, Amplify, EdMod, Discovery Ed, Scholastic Magazines, Quizlet, etc.
Oversee teacher and scholar resource and supply acquisition, organization, and maintenance processes to ensure that classroom processes run smoothly at all times.
Coordinate the term closure systems: progress and report card process, including timeline, tasks, and division of responsibility in partnership with the Principal, Office Manager, and teachers. Support the Principal with the execution of Goal Setting Meetings.
Coordinate the annual STEM Showcase by organizing event logistics, gathering and preparing necessary materials and supplies, and creating clear informational communications for families to ensure strong participation and a well-run event.
Work in coordination with the principal to implement and continuously improve the school’s strategic plan.
External Partners:
Coordinate with public school districts for all aspects of IEPs and Equitable Services.
Gather, record, and submit all necessary information for governmental and archdiocesan surveys.
Collaborate with the principal to determine how Title funds will be allocated, and manage the purchasing and organization of all goods and services supported by those funds.
Ensure preschool compliance with Massachusetts Department of Early Education and Care (EEC) regulations, including required documentation, staff credentialing and background checks, health and safety protocols, and licensing preparation.
Ensure school compliance with E-Rate requirements by coordinating application submissions, maintaining required documentation, managing vendor relationships, and overseeing reporting and audits.
Oversee the cafeteria manager to ensure the school’s meal program complies with Massachusetts Department of Elementary and Secondary Education (DESE) nutrition regulations, including documentation, required reporting, and program monitoring.
Coordinate with contractors for outside support systems, such as BEVO, DW Spectrum, Threat Responder, etc.
QUALIFICATION REQUIREMENTS
Systems orientation with a strong attention to detail
Prior leadership and/or management experience
Excellent organizational and communication skills
Ability to multitask to accommodate high levels of responsibility
Flexible attitude with a strong work ethic and entrepreneurial spirit
Computer and financial literacy, including Microsoft Word, Excel, and Google platforms.
Bachelor's degree required; master's degree preferred
Background check through the EEC BRC portal is required
PHYSICAL REQUIREMENTS
Ability to use a computer keyboard for up to 8 hours/day.
Ability to sit for up to 8 hours/day.
Ability to lift up to 20 pounds.
GOALS & EVALUATION
Headline goals related to meeting job performance expectations of this role are:
Maintain 100% accuracy in scholar data entry, educational platform management, and progress reporting by coordinating term closure processes and ensuring all classroom resources and supplies are organized and accessible for teachers when necessary.
Ensure 100% compliance with EEC, DESE, E-Rate, Title funding, and archdiocesan reporting requirements by preparing all necessary documentation, completing audits or inspections on schedule, and resolving any compliance issues within 10 business days of identification.
Conduct quarterly performance check-ins and provide ongoing coaching for the Front Office Secretary and Cafeteria Manager, ensuring at least 90% of assigned tasks are completed accurately and on time, with demonstrated adherence to safety, professionalism, and program standards.
Coordinate with contractors, public school districts, and external partners to support scholar services, technology, safety, and federal/state programs, achieving 100% timely submission of required forms and successful execution of at least 95% of scheduled service or program agreements each year.
Job performance is evaluated by the Principal.
Minimum weekly meetings with the Principal to report progress toward the goal and discuss strategy.
