Job Description
Our small but growing CPA and Financial Services office needs a reliable, organized Administrative Assistant. The successful applicant will have a positive attitude, a desire to work as efficiently as possible, and excellent client-facing communication skills. We are looking for someone who can operate effectively with little or no supervision and who can manage multiple tasks at once without becoming overwhelmed.
Responsibilities
- Proactively communicate with clients to ensure compliance.
- Answer multi-line phone system and direct calls as required.
- Organize and schedule appointments.
- Write and distribute email, correspondence memos, letters, faxes and forms.
- Greet clients upon arrival and direct them to appropriate conference rooms.
- Maintain filing and storage systems in the office.
- Electronically scan documents into software system.
- Maintain office supply inventory.
- Retrieve documents and files when requested.
- Route incoming mail and process outgoing mail.
- Light accounting duties.
- Additional tasks as they arise.
- Must be able to be fingerprinted
Skills
- Accounting Firm or Securities Firm experience preferred.
- Must have knowledge of Microsoft Office, Computers, Data Entry, Typing, Communication, and Filing.
- Typing speed: minimum 60 WPM with 90 percent accuracy
- Proven experience as an administrative assistant or office admin assistant.
- Knowledge of office management systems and procedures.
- Working knowledge of office equipment, such as printers and fax machines.
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multi-task.
- Familiarity with mobile technology.
- Pleasant, friendly disposition.
- Strong interpersonal communication skills
