This is a highly visible role that serves as the operational hub of our organization, helping ensure our office, our team, and our clients experience excellence every day. Your Impact
As our Office Operations & People Coordinator, you'll help keep our business running smoothly by supporting administrative operations, accounting, human resources, and employee engagement. You'll be a trusted resource for our team and a key contributor to our mission of Empowering, Transforming, and Healing.
What You'll Do
Office Operations
- Serve as the first point of contact by answering incoming phone calls and welcoming visitors with professionalism and warmth.
- Manage incoming and outgoing mail, scanning, filing, and document organization.
- Maintain office supplies and ensure a clean, organized, and efficient workplace.
- Print documents and process mail accurately and on time.
- Complete special projects that support organizational growth and operational excellence.
Accounting & Financial Administration
- Process payroll and review employee timecards for accuracy and approval.
- Support Accounts Payable and Accounts Receivable.
- Process customer payments, credit card transactions, and mobile deposits.
- Attach receipts and maintain accurate financial records in QuickBooks.
- Support financial reporting with accuracy, organization, and confidentiality.
Human Resources & People Operations
- Coordinate new hire onboarding to ensure every employee has an exceptional first-day experience.
- Track department staffing needs and assist leadership with recruiting and hiring efforts.
- Support interviews and candidate communications throughout the hiring process.
- Administer employee benefits and assist with enrollment and employee questions.
- Process and track employee time-off requests.
- Coordinate recognition programs and support initiatives that strengthen employee engagement and company culture.
- Maintain confidential employee records while ensuring compliance with company policies.
Reporting & Administrative Support
- Prepare and distribute the weekly Reports.
- Identify opportunities to improve workflows and office efficiency.
- Support leadership with administrative projects and cross-functional initiatives.
- Jump in wherever needed to support the team and our clients.

During your first 90 days, you'll become a trusted partner to our leadership team and the person others rely on to keep the business running smoothly. Success in this role means:
- Building strong relationships across every department.
- Learning our systems and becoming confident in managing payroll, AP/AR, onboarding, and office operations with accuracy.
- Ensuring payroll, employee records, invoices, deposits, and reporting are completed accurately and on time.
- Creating an organized, welcoming office environment where employees and visitors feel supported.
- Improving at least one office process by increasing efficiency, organization, or communication.
- Supporting hiring and onboarding efforts that help us attract and retain outstanding team members.
- Championing our culture by recognizing teammates, encouraging collaboration, and helping create a workplace people genuinely enjoy coming to every day.
- Demonstrating ownership by anticipating needs, solving problems proactively, and following through on commitments without being asked.
What You'll Bring
- Experience in office administration, office management, operations, HR coordination, or a similar role.
- Experience processing payroll, Accounts Payable, and Accounts Receivable.
- Working knowledge of QuickBooks or similar accounting software.
- Strong organizational and time management skills with exceptional attention to detail.
- Excellent customer service and communication skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Ability to manage multiple priorities while maintaining professionalism and accuracy.
- High level of integrity and discretion when handling confidential information.
- Experience in a healthcare, laboratory, or medical office environment is preferred but not required.
