What are the responsibilities and job description for the Personal Assistant / Executive Assistant Hybrid position at S&A Operations?
PERSONAL ASSISTANT / EXECUTIVE ASSISTANT HYBRID
Location: Henderson / Las Vegas, NV
Job Type: Full-Time
Work Environment: Primarily On-Site with Local Travel
Schedule: Full-time with flexibility based on the principal’s schedule
ABOUT THE ROLE
We are seeking a highly capable, organized, resourceful, and discreet Personal Assistant / Executive Assistant Hybrid to provide comprehensive personal and administrative support to a busy entrepreneur involved in multiple businesses, projects, events, and frequent travel.
This position sits at the intersection of a traditional Personal Assistant and Executive Assistant.
The role will manage the principal’s personal scheduling and logistics while also supporting administrative needs that overlap with professional activities. Responsibilities will range from calendar management, appointments, travel, reservations, household vendors, maintenance coordination, personal errands, meals, and transportation to business-team coordination, research, and administrative follow-through.
This is not a traditional desk-based Executive Assistant position.
The ideal candidate is equally comfortable coordinating an executive meeting, scheduling an HVAC technician, changing an international flight, making a dinner reservation, purchasing something for the principal, picking someone up from the airport, following up with a business contact, or solving an unexpected personal or logistical problem.
The person in this role should ultimately reduce the number of logistical and administrative details requiring the principal’s direct attention.
KEY RESPONSIBILITIES
CALENDAR & SCHEDULE MANAGEMENT
- Manage and maintain the principal’s personal calendar and assist with professional scheduling as needed.
- Schedule and coordinate appointments, meetings, dinners, events, personal commitments, and other obligations.
- Identify scheduling conflicts and proactively recommend solutions.
- Confirm appointments and ensure relevant parties have accurate timing, locations, addresses, and necessary information.
- Coordinate schedules across personal and business commitments.
- Maintain awareness of upcoming deadlines, appointments, travel, events, and important dates.
- Provide reminders and ensure the principal is prepared for upcoming commitments.
- Adjust schedules quickly when priorities change.
PERSONAL & FAMILY SUPPORT
- Provide day-to-day personal and administrative support to the principal.
- Provide appropriate personal and logistical support to the principal’s spouse as part of the overall household support structure.
- Assist the principal and spouse with appointments, reservations, scheduling, purchases, errands, travel-related needs, meals, and other personal logistics.
- Coordinate schedules and logistics involving both the principal and spouse when necessary.
- Maintain discretion and professionalism when handling personal, family, household, and confidential matters.
- Understand priorities and appropriately balance requests involving the principal, spouse, household, and business responsibilities.
- Anticipate recurring personal and household needs rather than waiting to be asked each time.
The principal will remain the primary focus of the position, but the PA/EA should be comfortable providing support to the spouse when needed.
MEALS, DINING & FOOD LOGISTICS
- Coordinate day-to-day meal logistics for the principal and spouse as needed.
- Make restaurant reservations and coordinate dining plans around personal and professional schedules.
- Order meals, takeout, delivery, or catering when appropriate.
- Coordinate meals for meetings, guests, travel days, events, or particularly busy schedules.
- Maintain awareness of the principal and spouse’s food preferences and recurring meal needs.
- Communicate dietary preferences or special requests to restaurants, hotels, caterers, or other food-service providers when necessary.
- Coordinate with the House Manager regarding groceries, household food inventory, kitchen readiness, and items that need to be purchased or replenished.
The PA/EA owns meal logistics and coordination, while the House Manager generally owns the physical organization and readiness of the kitchen, pantry, refrigerator, and household food inventory.
EXECUTIVE & BUSINESS SUPPORT
- Provide administrative support across the principal’s various business interests when needed.
- Communicate with executives, employees, partners, vendors, contractors, and external contacts on behalf of the principal.
- Help coordinate meetings and calls across multiple companies and projects.
- Track requests, decisions, deadlines, and follow-up items.
- Ensure tasks delegated by the principal do not disappear after the initial conversation.
- Follow up with team members and external parties to confirm completion.
- Organize information so the principal can quickly understand the status of outstanding matters.
- Assist with basic research, document organization, information gathering, and special projects.
- Serve as a communication bridge between the principal’s personal schedule and professional teams when necessary.
HOUSEHOLD VENDOR & MAINTENANCE COORDINATION
- Serve as the primary administrative point of contact for household vendors and service providers.
- Schedule maintenance, repairs, installations, inspections, and recurring household services.
- Coordinate plumbers, electricians, HVAC technicians, landscapers, pool services, internet/technology providers, appliance technicians, contractors, and other vendors.
- Obtain quotes and estimates when necessary.
- Coordinate vendor access to the residence.
- Maintain vendor contact information and service history.
- Track open maintenance issues from initial identification through completion.
- Follow up when vendors fail to respond or work remains incomplete.
- Coordinate recurring maintenance schedules and help prevent services from being missed.
- Review invoices and route them appropriately for payment or approval.
- Communicate appointment timing and relevant information to the House Manager.
The House Manager / Organizer will generally identify physical household issues and ensure the residence remains organized and operational. The PA/EA will own the administrative coordination required to resolve those issues.
PERSONAL SHOPPING, ERRANDS & LOCAL LOGISTICS
This position includes a combination of administrative responsibilities and hands-on personal assistance. The PA/EA must be comfortable stepping away from a desk and handling local logistics when necessary.

- Pick up prescriptions, dry cleaning, packages, documents, food, or other items.
- Handle time-sensitive local errands.

- Assist with luggage and travel-related transportation.
- Coordinate vehicle-related appointments, servicing, detailing, registration, or other automotive needs.
- Handle other driving-related personal or business errands as needed.
Not every errand or transportation need must be personally handled by the PA/EA. Depending on the situation, the PA/EA may coordinate drivers, delivery services, household staff, or other resources.
The expectation is ownership: determine the most efficient way to get something handled and make sure it gets done.
DRIVING & TRANSPORTATION
Candidates must be extremely comfortable driving and should expect driving to be a regular component of this position.
The PA/EA may be responsible for transporting the principal, spouse, guests, luggage, packages, documents, purchases, or other items throughout the Las Vegas/Henderson area.
The ideal candidate:
- Is a confident, safe, and experienced driver.
- Is comfortable driving throughout Las Vegas, Henderson, and surrounding areas.
- Is comfortable regularly driving to and from Harry Reid International Airport and other frequently visited locations.
- Is comfortable driving different types and sizes of vehicles when necessary.
- Maintains a professional demeanor while transporting the principal, spouse, guests, or business associates.
- Is comfortable with airport pickups/drop-offs, waiting periods, changing arrival times, and other transportation logistics.
- Has a valid driver’s license and clean driving record.
- Understands that driving responsibilities may occasionally occur outside standard business hours due to flights, events, dinners, or schedule changes.
TRAVEL & LOGISTICS
Travel preparation will be coordinated collaboratively with the House Manager / Professional Organizer.
The PA/EA will generally take ownership of the administrative and logistical side of travel.
- Research and book domestic and international flights, hotels, ground transportation, and other travel arrangements.
- Prepare and maintain detailed itineraries and confirmations.
- Coordinate airport transportation, departure timing, arrivals, drivers, and other ground logistics.

- Research unfamiliar topics quickly and present useful options.
- Coordinate multiple parties to complete time-sensitive projects.
- Troubleshoot unexpected problems independently.
- Take loosely defined requests and determine the steps necessary to complete them.
- Maintain ownership of tasks through completion rather than simply passing information along.

WHAT SUCCESS LOOKS LIKE
Success in this position means the principal spends significantly less time thinking about scheduling, logistics, appointments, household maintenance, meals, travel arrangements, transportation, administrative follow-up, and day-to-day coordination.
