Job Overview

We are seeking a highly organized and proactive Operations Coordinator to join our team. This role is vital in ensuring smooth daily operations, managing administrative tasks, and supporting various departments to achieve organizational goals. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with essential software tools. Bilingual skills are a plus, as well as experience in customer service and clerical support. Responsibilities

  • Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and proofreading to ensure accuracy of records and documents
  • Coordinate office supplies procurement and maintain inventory levels for smooth office functioning
  • Provide exceptional customer service by addressing inquiries promptly via phone or email
  • Assist with administrative support tasks such as typing correspondence, supporting customer support initiatives, and managing documentation
  • Handle office management duties including organizing files, maintaining office equipment, and ensuring compliance with company policies

Requirements

  • Proven experience in office management, administrative support, or clerical roles; experience as a dental or medical receptionist is a plus
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Exceptional phone etiquette and customer service skills; experience with multi-line phone systems is advantageous
  • Bilingual abilities are highly desirable to serve diverse client needs
  • Previous experience in office environment roles such as front desk receptionist or personal assistant preferred
  • Ability to handle confidential information discreetly and professionally
  • Strong proofreading skills and attention to detail
