What You'll Do:• Provide high-level administrative support to senior leadership and the sales organization, including drafting correspondence, memos, reports, and other professional documents• Prepare and distribute monthly company calendars and customized executive reports• Coordinate mail, parcel deliveries, and office supply ordering• Manage and maintain intellectual property files, including tracking and initiating trademark and patent renewals• Plan and execute large-scale corporate events including annual sales meetings, incentive trips, holiday gatherings, and employee engagement programs• Arrange comprehensive travel logistics — flights, car rentals, and accommodations — for executives, staff, and ownership including family travel• Coordinate catering and restaurant reservations for corporate and private functions• Reconcile monthly corporate credit card statements• Provide on-demand personal assistance to company ownership as needed• Perform general office and basic bookkeeping tasks; other duties as assigned
What You Bring:• Exceptional written and verbal communication skills• Outstanding organizational skills and meticulous attention to detail• Self-starter mentality with strong independent judgment and problem-solving ability• Dependable, discreet, and consistently punctual• Comfortable with occasional availability outside standard business hours when needed• Proficiency in Microsoft Office Suite, including Excel• Positive, solutions-oriented attitude with the ability to stay calm under pressure
Qualifications:• High school diploma required; Bachelor's degree in Business Administration or a related field preferred• 2 years of experience in executive or personal assistance, event coordination, concierge services, or hospitality strongly preferred
