Responsibilities
- Oversee daily office operations, including managing front desk duties and greeting visitors with professionalism and warmth
- Handle multi-line phone systems, directing calls efficiently and providing exceptional customer service
- Manage calendar appointments, schedule meetings, and coordinate office events to optimize productivity
- Perform data entry, maintain filing systems, and ensure accurate recordkeeping using digital tools such as Google Workspace and Microsoft Office
- Process invoices, track expenses, and perform bookkeeping tasks using QuickBooks or similar accounting software
- Support clerical tasks such as proofreading documents, managing correspondence, and maintaining office supplies
- Provide customer support by addressing inquiries promptly and professionally, ensuring positive interactions at all times
Requirements
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency in QuickBooks, Microsoft Office Suite, Google Workspace, and general computer literacy
- Experience with data entry, filing systems, and document proofreading
- Excellent phone etiquette with experience managing multi-line phone systems and front desk responsibilities
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Prior experience as a dental or medical receptionist or personal assistant is a plus
- Strong time management skills with the ability to prioritize tasks efficiently
- Knowledge of bookkeeping principles and experience with financial recordkeeping is essential
- Ability to handle clerical responsibilities such as typing accurately, managing calendars, and supporting customer service initiatives
