Job Summary:

The Executive Administrative Assistant will support several Senior Executive Vice Presidents (SEVPs) and their teams in a fast-paced environment. This exciting role requires flexibility, strong business and technology acumen and professionalism as well as keen attention to detail and the desire to learn. The successful candidate will have solid organizational skills, experience learning and using software tools, and the ability to meet tight deadlines while working in a fast paced and dynamic environment. The ability to work independently and collaboratively with a strong sense of ownership and customer service is desired.

Responsibilities:

Include but are not limited to:

  • Support 3-5 Executive Vice Presidents and team in frequent coordination with C-Level leaders and their respective Administrative Assistants, both internally and with external client partners
  • Maintain a sensitive and complex executive calendar, demonstrating tact and flexibility regardless of competing priorities
  • Schedule meetings, reserve conference rooms, register visiting guests, order lunches, prepare meeting agendas and coordinate off-site events
  • Gain expertise in and leverage various administrative software tools including but not limited to: Calendly (scheduling software), Juniper Square (Client Relationship Management "CRM" software), DocuSign (document execution software), Zoom and Teams (video conferencing), and Microsoft Outlook (email and calendar management)
  • Assist in maintaining and updating presentations using Microsoft PowerPoint
  • Ensure EVP and team are prepared for all meetings and events and assist with preparation of materials including printing, binding and shipping of materials
  • Develop an understanding of team functions, fielding requests and inquiries from team members, making a point to be available and approachable to everyone
  • Act as gatekeeper by balancing customer service with business needs
  • Schedule domestic/international travel to include booking flights, hotels, coordinating meetings, car service, managing visas and entry requirements, Covid testing, and other travel requirements
  • Work closely with the leadership team and other Executive Assistants across the organization to provide support to the organization.
  • Prioritize and address sensitive, confidential information in a timely manner

Education and Experience

  • Bachelor's degree or some college preferred
  • 5-10 years in an Executive Assistant and/or Financial Analyst position; experience in the Real Estate industry a plus
  • Experience working with senior executives and clients required
  • Advanced Microsoft Word, PowerPoint, and Outlook; experience learning and deploying new software applications to enhance efficiency. Intermediate Excel
  • Ability to handle sensitive, confidential information
  • Superior attention to detail
  • Highly collaborative and proactive with the ability to anticipate needs before they arise

The salary range and/or hourly rate listed is a good faith determination of potential base compensation that may be offered to a successful applicant for this position at the time of this job advertisement and may be modified in the future. When determining a team member's base salary/rate, several factors may be considered as applicable (e.g. location, years of service, specialty, education, relevant experience).

Bonus eligible.

Pay Range

$90,000—$95,000 USD
