Rutherford County Planning and Engineer is seeking a detail-oriented and organized Administrative Support III to provide professional administrative, clerical, and customer service support. This position plays a vital role in the daily operations of the department by assisting with budgeting, financial recordkeeping, document processing, and coordination of meetings, communications, and departmental projects.
The ideal candidate will be a self-motivated, dependable individual with strong communication skills and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Provide administrative and clerical support to the County Engineer departmental staff.
- Greet visitors, answer phone calls, and provide courteous, accurate customer service to the public, contractors, and other departments.
- Prepare, process, and maintain department documentation, correspondence, and financial records.
- Assist with budget preparation, purchasing, and invoice processing; monitor and reconcile departmental expenditures.
- Coordinate calendars, meetings, and travel arrangements; prepare agendas, meeting packets, and minutes for various boards and committees.
- Maintain accurate filing systems, databases, and records; assist with data entry and reporting.
- Prepare legal notices, zoning and subdivision documentation, and materials for Planning Commission and Board of Zoning Appeals meetings.
- Support departmental functions including stormwater, GIS, zoning, and development documentation.
- Assist with departmental website updates and public communications.
- Maintain confidentiality of sensitive information and ensure compliance with county policies and procedures.
Minimum Qualifications
- High school diploma or GED required.
- Two (2) years of administrative, secretarial, or office management experience, preferably in a government or engineering/planning environment.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and data entry systems.
- Knowledge of basic bookkeeping and budget tracking procedures.
- Strong written and verbal communication skills with attention to detail.
- Ability to work independently, organize workload, and meet deadlines.
- Must maintain confidentiality and demonstrate sound judgment.
- May require valid State of Tennessee Notary Public certification (or ability to obtain).
Preferred Qualifications
- Experience in municipal or county government, engineering, planning, or related field.
- Familiarity with zoning, permitting, or GIS database management.
- Experience coordinating meetings and preparing public hearing materials.
