Elementary Office Secretary
STATUS: Part-time; school year only, breaks off
HOURS: 8am-4pm
REQUIREMENTS:
- High School diploma or equivalent
- Associate's Degree, or 60 college credit hours with a grade of C or higher
- Experience in school office setting preferred
- Strong communication and computer skills
- Ability to maintain confidentiality in all matters
- Ability to multi-task and work in a high-paced office setting
COMPENSATION PACKAGE:

Primary Responsibilities:
Working under general supervision, the elementary secretary is responsible for various secretarial/clerical/receptionist and bookkeeping duties for the building principals and elementary office, as requested.
This position serves as a first contact for students, parents and community members at Ruth McGregor Elementary.
Essential Duties and Responsibilities:
- Assists principal and assistant principal to maintain efficient operations.
- Directs student and parent issues to whomever necessary.
- Handles PA system as necessary.
- Answers phones.
- Answers and controls locked door buzz-in system.
- Coordinates substitute teacher schedules, and substitute binders; as well as ensures teacher absences are filled daily.
- Sorts and distributes inter-office mail.
- Mails necessary documents for principal and staff when needed.
- Assists teachers and building staff, as necessary, in securing pertinent forms, documents and supplies.
- Assists with student registration and new student enrollment.
- Learn and become proficient with Infinite Campus, our Student Information Software.
- Assists with summer purchase orders and receiving/distributing of supplies.
- Maintain CA 60 student files.
- Assists with coordinating:
- Back to School Professional Development Days
- Back to School Open House
- Parent-Teacher Conferences
- Preschool Open House
- Kindergarten Graduation
Qualifications:
- MUST have the ability to keep sensitive material confidential.
- Experience and knowledge of Infinite Campus (student information software) preferred.
- Knowledge and understanding of computers and accompanying software/programs; Proficient computer skills.
- Knowledge and understanding of office equipment, including fax machine, copiers and technology.
- Ability to manage multiple projects; strong planning and organizational skills.
- Excellent verbal and written communication skills.
- Experience with website and social media.
- Ability to function in a stressful setting and manage workload with multiple interruptions.
- Ability to multi-task and work in a high-paced office setting.
- Ability to maintain proper organization and records.
- Must be able to greet and assist students, staff, and visitors in a professional, courteous, and polite manner.
- Must be supportive and cooperative with high school principal, assistant principal, office staff, school staff, students and community.
