Title: Onboarding Specialist
Duration: 6 Months with potential extension/FTE based on the business needs
Location & Schedule: Onsite in Minneapolis, MN
Pay: $24 - $26
Key Responsibilities
- Manage the end-to-end onboarding process from pre-employment through post-hire, ensuring a seamless and well-supported experience for new hires and hiring managers
- Oversee daily Form I-9 operations, including review of Section 1 and Section 2, monitoring for missing or overdue items, conducting reverifications, and ensuring compliance with federal regulations and timelines
- Maintain and manage a high-volume caseload within a Case Management System, responding to inquiries and completing tasks in alignment with defined Service Level Agreements (SLAs)
- Identify, troubleshoot, and escalate complex issues involving candidates, employees, managers, HR partners, and external vendors as appropriate
- Apply in-depth knowledge of company policies, onboarding procedures, employment eligibility regulations, and risk-based compliance practices
- Support internal audits, documentation reviews, and ongoing compliance monitoring initiatives
- Ensure strict confidentiality and secure handling of sensitive employee and organizational information
- Utilize HR systems such as Workday and ServiceNow to manage onboarding workflows, I-9 processing, and case documentation
- Deliver a high-quality customer experience through clear, accurate, and proactive communication across all stages of onboarding
Qualifications:
- 1–3 years of experience in HR, onboarding, compliance, or administrative support within a regulated environment
- Working knowledge of Form I-9 processes, including Section 1, Section 2, reverifications, and employment eligibility requirements
- Hands-on experience with HRIS platforms such as Workday, ServiceNow, or similar systems
- Strong attention to detail with a high level of accuracy in handling sensitive and confidential information
- Proven ability to manage multiple priorities and caseloads while meeting established SLAs
- Excellent communication, customer service, and problem-solving skills
- Ability to apply a risk-based approach to decision-making and issue resolution
- Proficiency in Microsoft Office and comfort navigating digital tools and workflow systems
