How You’ll Contribute
As an Executive Assistant, you will help us reach our strategic growth goals by providing support to our leaders, the Russell team and our visitors.
The Executive Assistant provides high-level administrative support to company executives, ensuring seamless day-to-day operations and communication. This role requires a proactive, detail-oriented professional who thrives in a fast-paced environment and exercises the highest level of discretion. Acts as a key liaison between the executive team and internal/external stakeholders while upholding strict confidentiality, professionalism, and operational efficiency.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Manages complex calendars, including scheduling meetings, site visits, and travel logistics with discretion and sensitivity to confidential priorities.
- Prepares and edits correspondence, reports, presentations, and other documents, many of which contain confidential or proprietary information.
- Coordinates meetings, events, and calls with internal and external stakeholders.
- Tracks and follows-up on action items, deadlines, and project milestones.
- Serves as a trusted point of contact between the executive team and internal/external partners, exercising sound judgment and confidentiality at all times.
- Drafts and reviews communications on behalf of the executive team with accuracy, professionalism, and discretion.
- Builds strong working relationships with project teams, clients, vendors, and leadership.
- Works collaboratively with the Director of First Impressions to ensure a seamless and professional experience for guests, clients, and internal team members.
- Supports company plane coordination, in partnership with the Director of First Impressions, including scheduling, passenger communication, and pre-/post flight logistics.
- Assists with meeting agendas, note taking, and distribution of minutes.
- Supports strategic initiatives by coordinating research, compiling data, and preparing summaries.
- Partners with other departments to coordinate and support company-wide initiatives.
- Supports company events, executive offsites, leadership retreats, and recognition programs.
- Champions core values and contributes to a positive, team-oriented culture.
- Performs additional administrative and personal tasks as assigned by members of the Executive Leadership Team, including the President, CEO, and COO, to support both professional and time-sensitive personal needs.
Educational and experience requirements include: High school diploma or equivalent plus a minimum 3-5 years administrative, office manager experience. Prior experience as an Executive Assistant in a construction-related field is a plus but not required. Requires working knowledge of general business and office equipment. Proficient in Microsoft Outlook, Microsoft Word and Microsoft Excel required. Excellent communication and interpersonal skills are essential. Ability to handle sensitive and confidential information/ situations, and function well in a fast-paced environment.
HOURS OF WORK
8:00 a.m. to 5:00 p.m. Monday through Friday. May require occasional extended hours in support of executive needs.
