Responsibilities
- Coordinate vehicle dispatching by utilizing transportation management systems (TMS) and vehicle dispatch software to assign routes efficiently.
- Manage incoming calls using multi-line phone systems, providing prompt assistance and clear communication with drivers, clients, and internal teams.
- Maintain accurate data entry within logistics platforms such as Oracle Transportation Management, SyteLine, and AS400 to track shipments, freight details, and delivery schedules.
- Support shipping & receiving processes by scheduling pickups and deliveries in compliance with DOT (Department of Transportation) regulations and company policies.
- Assist in fleet management activities including vehicle scheduling, maintenance coordination, and compliance documentation.
- Communicate effectively with internal teams through internal communication tools to relay updates on freight status or operational changes.
- Perform analysis of transportation data to identify opportunities for efficiency improvements and cost savings.
Skills
- Strong knowledge of GIS (Geographic Information Systems), GPS technology, and transportation planning tools to optimize routing strategies.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for documentation and reporting purposes.
- Experience with road transportation operations, dispatching procedures, and freight management practices.
- Excellent phone etiquette with the ability to handle multi-line phone systems confidently while managing high call volumes.
- Familiarity with transportation management systems such as Oracle Transportation Management or similar platforms like SyteLine or AS400.
- Understanding of logistics principles including shipping & receiving processes, fleet management, and 3PL (third-party logistics) coordination.
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Analysis skills for reviewing transportation data to enhance operational performance.
- Knowledge of DOT regulations governing vehicle dispatching and freight safety standards.
- Effective communication skills for internal collaboration and customer service excellence.
- Data entry accuracy combined with typing proficiency to ensure precise record keeping.
