Front Office Receptionist
I. Position Description
· Responsible for registering patients, monitoring referrals, collecting copays, scheduling appointments and triaging phone calls
II. Minimal Qualifications
· High School diploma or equivalent
· Prior medical front office experience desired
· Must be 18 years of age or older
· Must be able to lift 25lbs
III. Accountability
· Reports to Front Office Administrator
IV. Job Responsibilities
· Responsible for effective telephone communications between the community and Rummel Eye Care (REC) and Rummel Eye Care/Eye Surgery Services (REC/ESS)
· Responsible for effective timely triaging of telephone calls from outside sources
· Responsible for accurate timely scheduling of patient appointments, both initially and changing scheduled appointments as necessary.
· Responsible for timely processing of patient recall appointments
· Registers patients by gathering, verifying and entering in demographic and insurance information correctly
· Obtains signed registration sheets, permissions to file claims, releases, etc.
· Reviews schedules for referrals needed, obtains those that the office takes responsibility for and works with patient and/or billing to obtain others
· Responsible for collecting copayments and personal payments
· Prepares day sheet and balances cash drawer each day.
· Handles inquiries about insurances accepted, office hours, services, locations, exam fees, doctor information, etc.
· Verifies upcoming appointments
· Handles telephone receptionist responsibilities as needed
· Greets patients promptly and professionally
· Responds easily to routine requests for information
· Maintains patient confidentiality at all times, and communicates with the compliance officer regarding procedural changes and concerns
· Participates in professional development efforts to remain current on insurance coverages and regulation matters
· May be responsible for scheduling FAA/ATC physicals and ROTC examinations
· Cooperates and communicates with all staff members and physicians about patient matters
· Issues proper receipts and maintains a balanced drawer.
· Assists medical records clerk with duties including, but not limited to updating patient records, scanning and preloading of records, filing medical information in patient charts.
· Responsible for opening the office, closing the office at noon and at the end of the day. The duties for housekeeping, turning phones to answering service, etc. are as outlined in the procedures manual
· Assists in other assignments as requested by the supervisor
· Attends in services and staff meetings
· Understands and supports REC objectives and goals
· Complete the AAO Home Study Course in a timely manner
· Front office has a specific day to clean up front area, drop area, conference room and bathrooms
Duties and responsibilities may be added, deleted or changed at any time at the discretion of the management, formally or informally, either verbally or in writing.
V. Minimum Background Requirements
a. Position requires patient, physician and vendor contact; therefore, individual must exhibit pleasant manners, be professional in conduct, have the ability to listen and represent Rummel Eye Care standards of high efficiency and decorum
VI. Minimum Demonstrated Skills
· Requires accuracy, thoroughness and an understanding of insurance, copay and referral procedures
· Requires ability to work as a team member
· Requires skills in operating computers, word processing software, fax machines and copier machines
· Work is fast paced and multitasked
· Possess the ability to learn about services and terminology
VII. Physical Demands
· Must be able to stand, reach, bend and squat repeatedly during the day
· Must be able to communicate via the telephone
· Must be able to view and type computer data

· Works as a team member of REC

· Know existing lines of communication and authority
