Position Summary:
The Parts Associate is responsible for overseeing and managing the parts inventory and supply chain within the Maintenance Department. This role ensures that all parts-related operations run smoothly, supporting efficient maintenance and repairs. The Parts Associate will collaborate with the Service Manager, Director of Maintenance, and other team members to meet departmental goals, maintain optimal inventory levels, and ensure cost-effectiveness in procurement processes.
Key Responsibilities:
Inventory Management:
Maintain optimal inventory levels to avoid shortages and overstock situations.
Use inventory management software to monitor stock levels, track parts movements, and generate reports.
Run replenish reports, place stock orders for parts and tires, and ensure timely delivery.
Ensure all parts are properly tagged, organized, and easily accessible.
Conduct monthly inventory counts, manage discrepancies, and make necessary adjustments.
Identify and manage obsolete or stale inventory, coordinating with management for proper disposal or resale.
Supplier & Vendor Relations:
Build and maintain strong relationships with suppliers to ensure timely and cost-effective procurement of parts.
Identify and onboard additional vendors to create a competitive pricing structure.
Monitor supplier performance and address any delivery or quality-related issues.
Ensure that warranties, return shipments, and exchange processes are handled efficiently.
Operational Support & Leadership:
Greet and assist individuals entering the parts area and ensure a safe environment for all visitors.
Train maintenance staff on parts processes and inventory management practices.
Oversee and manage the parts workstation, including the creation and maintenance of parts catalogs and records.
Assist with warranty claim processing, working with the OTR Manager to track warranty claims for over-the-road repairs.
Review and approve all invoices before finalizing for payment and process any warranty payments or refunds.
Lead continuous improvement efforts to streamline parts operations and identify areas for process optimization.
Cost Management & Continuous Improvement:
Identify opportunities for cost savings, negotiating better pricing with suppliers.
Ensure efficient use of resources and eliminate waste in the parts department.
Maximize opportunities related to DEF inventory and keeping trucks fully stocked.
Continuously seek ways to improve processes and systems related to parts management.
Skills & Qualifications:
Proficient in inventory management software and basic computer skills.
Strong problem-solving skills with the ability to think critically and implement solutions proactively.
Excellent communication skills, able to effectively work with all levels of the organization.
Ability to work efficiently in a fast-paced, sometimes high-stress environment.
High School Diploma or equivalent required; Associate’s degree preferred.
2-3 years of experience managing a parts department within a transportation or maintenance environment preferred.
Management experience preferred
Valid Driver’s License
Physical Requirements:
Frequent standing and sitting, occasional walking, bending, and reaching.
Ability to lift 10-100 lbs
Ability to handle manual tasks such as sorting and tagging parts.
