About the Role
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant with a strong background in e-commerce platforms such as Amazon and Shopify. This role supports senior leadership through high-level administrative coordination, calendar management, communication oversight, and operational support related to ongoing e-commerce initiatives.
ResponsibilitiesExecutive Support & Coordination
- Serve as the primary point of contact and liaison between senior leadership, internal teams, and external partners.
- Manage and optimize executive calendars, including scheduling, prioritizing meetings, and coordinating appointments across multiple time zones.
- Prepare agendas, briefings, and follow-up documentation for meetings and strategic discussions.
- Handle confidential information with professionalism, discretion, and sound judgment.
- Assist with travel planning, itineraries, accommodations, and meeting logistics.
E-Commerce Administration
- Support Amazon Seller Central and Shopify store operations as needed, including monitoring orders, updating listings, assisting with promotions, and coordinating with marketing or operations teams.
- Track key performance metrics and assist in preparing weekly/monthly reports for leadership.
- Coordinate with fulfillment, customer service, and marketing departments to ensure smooth workflow and timely execution of e-commerce activities.
Project & Operations Support
- Organize and manage cross-functional projects, ensuring deadlines are met and communication remains clear.
- Assist leadership with operational tasks such as vendor communication, document management, data entry, and workflow optimization.
- Prepare presentations, reports, and documentation for internal and external stakeholders.
- 3–5 years of experience as an Executive Assistant, Administrative Coordinator, or similar role.
- Hands-on experience with Amazon Seller Central and Shopify platforms.
- Strong organizational skills with exceptional attention to detail and follow-through.
- Ability to manage shifting priorities and work in a fast-paced environment.
- Excellent written and verbal communication skills.
- Proficiency with Google Workspace / Microsoft Office Suite; experience with project-management tools is a plus (e.g., Asana, ClickUp, Trello).
- Demonstrated ability to support senior leadership and handle sensitive information.
- Must be U.S.-based with flexible availability to coordinate across time zones.
- Experience in e-commerce marketing, operations, or customer support.
- Ability to analyze e-commerce data and prepare performance reports.
- Comfortable working independently and making informed decisions on behalf of leadership.
