What are the responsibilities and job description for the Practice Administrator position at RS Orthodontics?
Practice Administrator — Run the Operation, Don't Just Staff the Desk
RS Orthodontics | Eastern Panhandle, WV (Martinsburg / Charles Town) | On-site | $24–$30/hr performance bonuses
We're rebuilding our practice around one strong operator instead of a row of receptionists. This is the right-hand administrative role — you'll run day-to-day office operations from A to Z, own the front-desk experience, and keep the whole practice moving so the doctor can focus on patients. Financials and routine back-office work are already outsourced. What we need is someone who can think, decide, and execute.
This is not a "sit and check people in" job. If you need to be told what to do next, this isn't your role. If you walk into a busy room and instinctively start solving problems, keep reading.
What you'll own:
- Day-to-day operations of the practice — you keep things running so nothing falls behind
- The patient experience at the front desk: scheduling, phones, patient flow, and first impressions
- Spotting bottlenecks and fixing them before they turn into problems
- Building and improving the systems a growing practice runs on
- Setting the tone for a fast-paced, high-standards, genuinely caring office
You'll thrive here if you are:
- Results-driven — you measure yourself by what gets done, not by how busy you look
- A natural problem-solver who figures things out without a manual
- Calm and organized under pressure, even when it's loud and fast
- Accountable to the point that people stop checking behind you
- Coachable — you take direct feedback as fuel, not as a personal attack
- Looking to grow with a practice and one day help it expand
You do not need orthodontic experience. If you've run a retail floor, hit targets in cellular or other direct sales, or carried a shift in hospitality, you already know how to move fast, hit numbers, learn new systems quickly, and keep customers happy. That translates directly. We'll teach you orthodontics; we can't teach drive.
Compensation & growth:
- $24–$30/hour, based on experience and what you bring to the table
- Performance-based bonuses tied to real outcomes
- Standard daytime office hours — no nights, no weekends
- A real upward path as the practice grows — this seat is the ground floor
How to apply: Answer the screening questions — they're short, and we read every one. Applications that skip them won't move forward.
Pay: $24.00 - $30.01 per hour
Benefits:
- 401(k)
- 401(k) matching
- Employee discount
- Paid time off
Application Question(s):
- How many years have you been accountable for results or targets (retail/sales/hospitality management, operations, or office administration)?
- Have you ever run the day-to-day operations of a location or team without a manager directing your every step?
- This role pays $24–$30/hr based on experience. Does that range work for you?
- Are you comfortable being measured on results within your first few weeks, with direct, candid feedback along the way?
- You arrive to a full waiting room, three voicemails, and a double-booked schedule — and the doctor is with a patient. What are your first three moves?
