Singh Vision is an independent, physician-owned ophthalmology practice serving Northern Virginia. We are a growing, referral-based surgical eye-care practice focused on delivering highly personalized care using advanced technology and efficient clinical systems.
Our services include advanced cataract surgery, LASIK and PRK, implantable collamer lenses, corneal and external disease care, glaucoma treatment, medical retina care, dry-eye treatment, and oculoplastic procedures. We are also expanding our office-based surgical capabilities and specialty service lines.
We are not a corporate or private-equity practice. Decisions are made locally, and the Practice Manager will work directly with physician ownership to improve operations, develop the team, and support the continued growth of the practice.
Position Summary
Singh Vision is seeking an experienced, organized, and highly accountable Senior Ophthalmology Practice Manager to oversee the daily operations of the practice.
This position serves as the operational partner to the physician-owner and is responsible for ensuring that the clinical, administrative, financial, and patient-service functions of the practice operate efficiently and consistently.
The ideal candidate is a hands-on leader who understands medical-practice operations, develops strong employees, follows performance data closely, solves problems before they become crises, and creates systems that allow physicians and staff to focus on excellent patient care.
This is not a purely administrative or desk-based position. The Practice Manager must be visible, engaged, comfortable working alongside the team, and willing to step into operational issues when needed.
Key Responsibilities
Practice Operations
- Oversee the daily operations of the clinical and administrative departments.
- Ensure efficient patient flow, scheduling, staffing, room utilization, and provider support.
- Identify operational bottlenecks and implement practical, sustainable solutions.
- Develop, document, and maintain standard operating procedures for key practice functions.
- Lead daily huddles, staff meetings, and regular management meetings.
- Coordinate communication among physicians, technicians, front-office staff, billing personnel, surgical coordinators, remote team members, and outside vendors.
- Maintain appropriate staffing levels based on patient volume and provider schedules.
- Ensure that operational problems are addressed promptly and followed through to completion.
- Support the launch and continued development of new providers, technologies, procedures, and service lines.
Team Leadership and Human Resources
- Recruit, interview, onboard, train, supervise, and develop clinical and administrative employees.
- Establish clear job expectations, performance standards, and measurable goals.
- Conduct regular one-on-one meetings, coaching sessions, and performance evaluations.
- Address attendance, professionalism, productivity, and performance concerns consistently and fairly.
- Coordinate corrective actions and terminations in accordance with applicable employment policies and legal requirements.
- Review and approve employee schedules, timecards, leave requests, and payroll information.
- Develop cross-training plans to reduce workflow disruptions and improve team flexibility.
- Build a culture of accountability, professionalism, teamwork, respect, and patient-centered service.
- Recognize strong performance while addressing problems directly and promptly.
- Work closely with physician leadership on workforce planning, employee retention, and succession planning.
Clinical and Front-Office Management
- Ensure that patients are checked in, worked up, treated, checked out, and scheduled accurately and efficiently.
- Monitor patient wait times, clinic delays, incomplete charts, scheduling errors, and other workflow issues.
- Ensure accurate insurance verification, demographic entry, referrals, authorizations, copay collection, deductible collection, and patient-balance communication.
- Support the clinical team in maintaining appropriate documentation, testing workflows, surgical coordination, and follow-up processes.
- Ensure that clinical equipment, exam rooms, supplies, medications, and patient-care areas are properly maintained.
- Coordinate physician schedules, surgical schedules, emergency visits, postoperative appointments, and referral-based care.
- Oversee patient communications and ensure that calls, portal messages, referrals, and clinical requests are handled appropriately and on time.
Revenue Cycle and Financial Oversight
- Monitor the overall performance of the practice’s revenue cycle.
- Work closely with internal and external billing personnel to improve claim submission, payment posting, collections, denial management, and accounts receivable.
- Review trends involving rejected claims, denials, prior authorizations, referrals, coding issues, unpaid balances, and delayed reimbursement.
- Ensure that copays, coinsurance, deductibles, surgical balances, and other patient responsibilities are collected appropriately.
- Monitor front-end revenue-cycle accuracy, including eligibility verification, insurance entry, authorizations, and demographic information.
- Review key financial and operational reports with physician leadership.
- Assist with annual budgeting, expense control, purchasing, inventory management, and capital-planning decisions.
- Identify opportunities to improve profitability without compromising patient care or staff support.
- Maintain appropriate controls for payment collection, deposits, refunds, credits, inventory, and purchasing.
Performance Management and Reporting
- Develop and monitor practice key performance indicators.
- Prepare regular reports for physician leadership regarding operational, staffing, financial, and patient-service performance.
- Track metrics such as:
- Patient volume and schedule utilization
- Patient wait times and clinic throughput
- Staffing productivity and overtime
- Copay and patient-balance collection
- Claim rejection and denial trends
- Accounts-receivable performance
- Referral and authorization completion
- Surgical scheduling conversion
- Patient satisfaction and complaints
- Employee turnover and attendance
- Inventory and supply expenses
- Translate data into clear action plans for staff and leadership.
- Follow up consistently to ensure that agreed-upon improvements are implemented.
Patient Experience
- Maintain a professional, organized, welcoming, and patient-centered environment.
- Set clear expectations for communication, courtesy, responsiveness, and service.
- Address patient complaints and service-recovery matters promptly and professionally.
- Identify recurring patient concerns and correct the underlying workflow or training problem.
- Ensure that patients receive accurate information regarding appointments, procedures, insurance requirements, financial responsibility, and follow-up care.
- Protect patient privacy and ensure that staff maintain appropriate professional boundaries.
Compliance, Safety, and Risk Management
- Support compliance with HIPAA, OSHA, CMS, Medicare, payer requirements, employment laws, and other applicable healthcare regulations.
- Maintain organized policies, training records, safety documentation, and audit-ready files.
- Ensure completion of required employee training and competency documentation.
- Oversee proper medical-record handling, privacy procedures, infection-control processes, medication and supply storage, and workplace-safety practices.
- Help maintain readiness for inspections, credentialing reviews, payer audits, accreditation activities, and office-based surgical requirements.
- Report potential compliance, patient-safety, billing, or employment concerns promptly to physician leadership.
- Coordinate with outside consultants, vendors, legal counsel, billing specialists, and compliance resources when appropriate.
Technology and Systems
- Oversee effective use of the practice-management system, electronic medical record, imaging systems, scheduling tools, communication platforms, and reporting systems.
- Identify technology-related workflow problems and coordinate with vendors to resolve them.
- Ensure that staff are properly trained in the systems required for their positions.
- Support implementation of new software, equipment, templates, automations, and digital workflows.
- Promote accurate documentation, secure communication, and appropriate access controls.
- Experience with ophthalmology-specific systems, Nextech Practice Plus, Google Workspace, Slack, or similar platforms is helpful but not required.
Growth and Strategic Projects
- Partner directly with physician ownership on practice growth and operational planning.
- Support provider recruitment, onboarding, scheduling, and integration.
- Help develop new clinical, surgical, refractive, dry-eye, aesthetic, or wellness service lines.
- Coordinate facility, equipment, vendor, and implementation projects.
- Support referral-development efforts and relationships with referring optometrists, physicians, and community partners.
- Assist with internal marketing campaigns, patient-retention initiatives, and lead-follow-up processes.
- Evaluate whether new initiatives are operationally and financially sustainable.
- Translate the physician-owner’s vision into organized, measurable execution.
Qualifications
Required
- At least three years of medical-practice management or comparable healthcare leadership experience.
- Experience directly supervising clinical, administrative, or multidisciplinary healthcare teams.
- Demonstrated success improving workflows, employee performance, patient service, or financial outcomes.
- Strong understanding of medical-office scheduling, insurance processes, patient collections, billing workflows, and revenue-cycle fundamentals.
- Experience with employee recruitment, onboarding, training, coaching, performance management, and conflict resolution.
- Ability to interpret operational and financial reports and use data to guide decisions.
- Strong written and verbal communication skills.
- Excellent judgment, organization, follow-through, and attention to detail.
- Ability to manage multiple priorities in a fast-paced clinical environment.
- Proficiency with electronic health records, practice-management systems, spreadsheets, email, and modern workplace technology.
- Ability to maintain confidentiality and handle sensitive patient, employee, and financial information appropriately.
- Bachelor’s degree in healthcare administration, business, management, nursing, public health, or a related field, or equivalent relevant experience.
Strongly Preferred
- Ophthalmology, optometry, ambulatory surgery, or multispecialty medical-practice experience.
- Experience managing a physician-owned or independently operated medical practice.
- Knowledge of ophthalmic testing, surgical scheduling, referral workflows, authorizations, and specialty medication processes.
- Experience overseeing both front-office and clinical operations.
- Experience with ophthalmology billing, coding, denials, accounts receivable, or payer requirements.
- Experience managing a combination of on-site and remote employees.
- Experience supporting practice expansion, new service lines, facility projects, or accreditation activities.
- COA, COT, COMT, COE, CMPE, or other relevant healthcare-management certification is helpful but not required.

Schedule
This is a full-time, in-office leadership position based in Woodbridge, Virginia. The position is primarily scheduled during regular weekday business hours.
The Practice Manager must be available to arrive early, remain later, or occasionally support weekend or after-hours operations when necessary for staffing, training, surgery, emergencies, or major practice projects.
