Role Description
This is a full-time hybrid role for a Construction Administrator, based in Chesapeake, VA working in our K-12-Education studio, with flexibility to work from home after fully trained. Key responsibilities include coordinating and overseeing construction administration services, managing project timelines, reviewing submittals, ensuring adherence to project specifications, and serving as a liaison between design teams, contractors, and clients. The Construction Administrator plays a vital role in bridging the gap between project management, architects, field operations and administrative functions, ensuring that all documentation, contracts, and communications are accurate, timely and compliant as well as ensuring projects are completed efficiently, on time, and to the highest standards of quality.
Key Job Duties and Responsibilities:
· Coordinate and maintain project documentation, including contracts, change orders, RFIs, submittals.
· Track project schedules, budgets, and deliverables to ensure milestones are met.
· Serve as a liaison between project managers, contractors, vendors, and clients.
· Review and process invoices, purchase orders and payment applications
· Ensure compliance with company policies, safety regulations and contractual requirements.
· Prepare and distribute progress reports, status updates and project correspondence.
· Maintain organized digital and physical filing systems for project records.
· Assist in bid preparation, proposal development and contract negotiations.
Qualifications
- Bachelor’s degree in construction management, Business Administration or Architecture.
- 3 years of experience in project management or construction management or a related role in the architecture industry; K-12 and educational project experience preferred.
- Strong knowledge of construction processes, terminology, and documentation.
- Proficiency in project management software (e.g. Procure, Builder trend, MS Project) and Microsoft office suite.
- Excellent organizational, communication and multitasking skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- LEED accreditation and familiarity with sustainable design concepts are highly encouraged.
- Excellent communication, interpersonal, and the ability to meet deadlines skills.
- Proficiency in project management software (e.g., MS Project, Primavera).
- Proficiency in Project Coordination and Project Management, with a focus on meeting deadlines and maintaining quality standards
- Experience in Construction Administration Services, including site visits, reporting, and adherence to project specifications
- Strong Communication skills to effectively liaise with clients, contractors, and team members
- Proven ability to review and manage Submittals, ensuring alignment with project requirements
- Detail-oriented with strong organizational and problem-solving skills
- Proficient in industry-standard software and tools
- Professional licensure or certification in architecture or construction administration is a plus
