Executive Assistant & Office Administrator

Experience Required: Minimum 2 years in an Executive Assistant or Administrative role (finance, venture capital, professional services, or similarly fast-paced environment preferred)
Role Overview
We're seeking a highly organized and proactive Executive Assistant to support senior leadership and help keep the firm running at a high level. This role requires exceptional judgment, discretion, and follow-through, along with the ability to manage multiple priorities in a fast-moving environment where no two days look the same.
You'll report directly to one of RRE's General Partners, who is also an active startup founder. This offers unique exposure to both venture investment and company-building, as you may occasionally support both the firm and the GP's operating company. In addition, you'll serve as our Office Administrator, overseeing day-to-day operations of the New York office.
What You’ll Do
Executive & Administrative Support
- Manage calendar, scheduling, travel, and expense reporting
- Coordinate board meetings and related logistics
- Serve as a liaison with founders, executives, investors, and prospective limited partners
- Maintain contact trackers to support fundraising and relationship management
- Handle occasional personal and administrative tasks to maximize executive efficiency
Office & Front Desk Operations
- Greet visitors and manage daily guest arrivals and deliveries
- Answer and route the main phone line (low volume)
- Manage mail, shipping, and printing
- Maintain clean, organized, and well-stocked conference rooms and shared spaces
- Coordinate catering, room setup, and basic A/V troubleshooting
- Serve as the point of contact for portfolio companies and guests using the NYC office
Facilities & Office Management
- Order and manage office and kitchen supplies
- Monitor kitchen usage and adjust weekly food and supply orders accordingly
- Coordinate maintenance and repairs for office and kitchen equipment
- Support ongoing office improvement and renovation projects
- Identify opportunities to improve efficiency and reduce costs
Marketing & Growth Support
- Assist in drafting and editing marketing materials, blogs, and internal/external communications
- Track portfolio company news and announcements
- Research speaking, podcast, conference, and media opportunities for senior leadership
- Support planning of team events, offsites, and sponsored initiatives
What We’re Looking For
Must-Have Qualifications
- 2 years of experience as an Executive Assistant, Administrative Assistant, or similar role
- Excellent organizational and time management skills
- Ability to work independently and exercise sound judgment
- Strong written and verbal communication skills
- Highly reliable, detail-oriented, and proactive
