Overview
We are seeking a dedicated and professional Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service and administrative support to the entire office and specifically the Front Office Administrator. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment.

Duties

  • Greet clients and visitors warmly, ensuring a positive first impression.
  • Manage multi-line phone systems, directing calls appropriately and taking messages when necessary.
  • Perform data entry tasks and maintain accurate records through filing and electronic documentation.
  • Assist with calendar management, scheduling appointments, and coordinating meetings.
  • Provide clerical support including typing, proofreading documents, and managing correspondence.
  • Utilize Microsoft Office and an office shared drive for various administrative tasks.
  • Handle customer inquiries with professionalism, offering support and solutions as needed.
  • Maintain office organization and cleanliness to create a welcoming environment.
  • Support bookkeeping tasks as needed, including basic accounting functions using QuickBooks.
  • Collaborate with team members to ensure smooth office operations.

Requirements

  • Previous experience in a front desk or receptionist role is a plus, however entry-level is acceptable.
  • Strong customer service skills with a focus on client satisfaction.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent phone etiquette and communication skills.
  • Strong organizational skills with the ability to manage time effectively.
  • Experience in office management or administrative roles is a plus.
  • Familiarity with multi-line phone systems and clerical duties such as data entry and filing.
  • Ability to handle confidential information with discretion.
