Position Summary: Roy Jorgensen Associates, Inc. is currently seeking full-time Administrative Assistant to support project operations through recording and verification of work activity in Nashville, TN. This position requires performing a variety of tasks related general office administration support and adherence to all applicable federal, state, and local regulations, as well as Jorgensen Company policies and procedures. This position works closely with the Project Coordinator, and management, and field staff.
Responsibilities include:
- Interacting with visitors
- Answering phone calls/email in a fast-paced environment
- Data entry using our in-house management system
- Assisting employees with new hire orientation and general questions
- Communicating with applicants and management staff to schedule interviews
- Coordinating travel arrangements for management meetings and traveling crews
- Organizing, filing, and maintaining reports, receipts, and other project documentation
- Supporting additional administrative duties as assigned
Salary: $18.00 - $20.00/ hr. depending on experience and qualifications
Schedule: Full time, Mon-Fri; 8AM-4:30PM. This position will report to our project office which is North of Nashville off of Bell Grimes Lane, daily.
Required Experience:
- Customer service orientation
- Experience managing heavy workloads in a fast-paced environment
- Database management experience in Excel
- Data entry experience
- Strong oral and written communication skills
- Excellent digital filing and organization skills
- Excellent attention to detail
- Good general computer skills
Preferred Experience:
- Prior customer service support or call management process experience
- Experience working with TDOT or other Departments of Transportation
- Construction or Maintenance Industry experience
- Bilingual in English and Spanish a plus
Qualifications:
- High School Diploma
- Preferred candidate will be customer service and detail oriented, self-motivated and an independent worker
- Position requires excellent organization, problem-solving and communication skills
- Tenacity and patience required
- Strong problem-solving skills
- Good general computer skills required
- Knowledge of administrative activities
- Knowledge of Microsoft Office software
- Ability to perform multiple, non-technical tasks with a potential need to upgrade skills in the order to meet changing job conditions
- Self-starter who can work independently
- Dependable and highly organized with business and maturity, discretion, enthusiasm, and positive attitude.
