PART I: SUMMARY OF POSITION
The Coordinator of Operations supports districtwide facility operations through direct oversight of daily maintenance, grounds, custodial logistics, building systems coordination, and operational service delivery. This position ensures that facilities, infrastructure, and operational systems - including access control, fire alarms, low-voltage systems, and building hardware - function reliably, safely, and in alignment with district standards. Working closely with the Director of Operations & Safety, the Coordinator translates strategic priorities into effective daily operations, supports system integration with district safety protocols, and provides hands-on leadership to maintain safe, secure, and well-maintained learning environments.
PART II: MINIMUM KNOWLEDGE, SKILLS AND ABILITIES
A. EDUCATION AND EXPERIENCE:
- High School diploma required. Bachelor’s degree in Operations Management, Public Administration, or related field preferred.
B. CREDENTIALS:

- Considerable knowledge of facilities operations, maintenance coordination, and public-sector building management practices.
- Knowledge of preventative maintenance systems, work order management platforms, and asset tracking procedures.
- Knowledge of building systems including plumbing, HVAC support systems, electrical components, door hardware, access control, and low-voltage infrastructure.
- Knowledge of fire alarm systems, life-safety compliance standards, and inspection protocols.
- Knowledge of grounds operations, seasonal maintenance practices, and exterior facility upkeep requirements.
- Knowledge of vendor coordination processes, service agreements, and warranty documentation management.
- Skill in organizing, prioritizing, and coordinating multiple maintenance and operational requests in a fast-paced environment.
- Skill in conducting facility inspections and identifying safety, maintenance, and operational concerns.
- Skill in maintaining accurate records, documentation, compliance logs, and operational reports.
- Skill in monitoring service quality and holding vendors and staff accountable to established performance standards.

- Oversees the districtwide work order system to ensure timely prioritization, assignment, tracking, and completion of maintenance and service requests.
- Monitors response times, workmanship quality, and service standards; follows up with staff and administrators to ensure operational excellence.
- Coordinates and documents preventative maintenance programs across all facilities to ensure compliance, efficiency, and system longevity.
- Analyzes recurring maintenance and system issues, identifying trends and recommending operational improvements.
- Coordinates daily maintenance, plumbing, and grounds operations in alignment with district priorities and seasonal requirements.
- Conducts routine site inspections and building walkthroughs to ensure consistent facility standards, safety, and cleanliness across all campuses.
- Maintains accurate inventories of maintenance tools, parts, supplies, and equipment to support uninterrupted operations.
- Supports operation and maintenance of access control systems, door hardware, master keying systems, and low-voltage infrastructure.
- Coordinates vendor services for security cameras, intercoms, alarm systems, fire alarm systems, and related life-safety equipment.
- Assists with inspection, testing, and compliance requirements for fire alarm and life-safety systems, addressing findings in collaboration with district leadership.
- Coordinates custodial substitute coverage, staffing logistics, after-hours building coverage, and event-related facility support.
- Oversees building setups, internal equipment moves, and intra-district deliveries to ensure efficient operational logistics.
- Coordinates contractor and vendor access, monitors contracted work for quality and compliance, and maintains documentation for service agreements and warranties.
- Supports summer projects, minor renovations, and facility improvements under the direction of the Director of Operations and Safety.
- Provides on-site operational support for emergencies, system failures, and critical facility issues, including participation in on-call and after-hours rotations.
- Maintains required records for inspections, preventative maintenance, certifications, and regulatory compliance.
- Prepares operational performance reports, service metrics, and documentation to support audits, insurance reviews, and regulatory inquiries.
- Assists with monitoring operational budgets, tracking expenditures, processing purchase orders, and identifying cost-efficiency opportunities.
- Serves as a primary operational liaison to building administrators, ensuring responsive communication and coordinated service delivery.
- Collaborates with safety, technology, transportation, municipal partners, and other district departments to ensure integrated, safe, and efficient facility operations.
- Perform other duties as assigned.
