What are the responsibilities and job description for the Excavation Admin Assistant position at Roto-Rooter Plumbing & Drain?
The Excavation Specialist is responsible for supporting safe, efficient, and compliant excavation operations. This role plays a key part in coordinating daily field activity, reinforcing safety standards, and ensuring all job-related documentation is accurate and complete within ServiceTitan. The position works closely with field leadership to maintain alignment with OSHA regulations and internal expectations.
Safety & Compliance
- Partner with the designated Competent Person to address field concerns, including safety risks and excavation conditions
- Monitor job sites to ensure adherence to OSHA trenching and excavation standards
- Confirm that required protective systems, testing procedures, and safe access points are in place
- Ensure all personnel on-site are properly trained and authorized
Team Coordination & Oversight
- Track and verify crew assignments to ensure proper staffing levels for each job
- Communicate with supervisors to confirm schedules, attendance, and role alignment
- Identify and escalate any inconsistencies in staffing or unauthorized site access
Documentation & System Management
- Oversee the accuracy and completeness of job documentation within ServiceTitan, including permits, receipts, purchase orders, and inspection records
- Review and validate photo documentation to ensure all phases of excavation are properly captured and meet quality standards
- Ensure all records are uploaded promptly and correctly associated with each project
- Work with field teams to correct missing or incomplete information
Quality Control & Auditing
- Perform routine audits of completed projects to verify compliance, accuracy, and documentation standards
- Utilize standardized checklists to maintain consistency across all jobs
- Provide guidance and feedback to field teams to improve documentation and overall performance
- Knowledge of OSHA excavation and trenching safety standards.
- Experience with construction documentation and digital job management systems (Service Titan preferred).
- Strong attention to detail and organizational skills.
- Ability to communicate effectively with field crews, supervisors, and safety personnel.
- Basic understanding of excavation methods, soil types, and protective systems.
