Landscape Procurement & Purchasing Manager

Location: Sterling, VA
Position Type: Full-Time, Exempt
Compensation: Competitive salary (range of $70,000 - $90,000) based on experience bonus

We're looking for an organized, proactive, and detail-oriented Landscape Procurement & Purchasing Manager to play a vital role in keeping our operations running efficiently. Internally, this role is known as our Procurement Manager.

This is much more than a purchasing position. You'll help ensure our production teams have the right materials, equipment, inventory, and operational support they need to deliver an exceptional client experience every day.


The Opportunity

As our Landscape Procurement & Purchasing Manager, you'll oversee purchasing, vendor relationships, inventory management, receiving, nursery operations, and several key operational support functions.

You'll work closely with our Operations, Production, Design, Sales, and Finance teams to ensure materials are available when needed, costs are managed strategically, and our crews can stay focused on delivering outstanding work.

Success in this role requires someone who enjoys planning ahead, solving problems before they happen, improving systems, and bringing organization to a fast-paced environment.


Key Responsibilities

Strategic Procurement & Purchasing

  • Purchase plant material, hardscape products, aggregates, irrigation supplies, soils, mulch, office supplies, uniforms, and other operational materials.
  • Build and maintain strong relationships with vendors and suppliers.
  • Negotiate pricing and identify opportunities to improve value while maintaining quality and reliability.
  • Forecast purchasing needs and proactively secure materials to support upcoming work.
  • Prepare and submit next-day purchasing requirements by 3:00 PM each business day to keep production moving efficiently.

Inventory Management

  • Maintain accurate inventory levels of materials and supplies.
  • Monitor frequently used inventory and replenish as needed.
  • Lead biannual physical yard inventories.
  • Develop and improve inventory control processes to reduce waste and improve efficiency.

Receiving & Material Logistics

  • Receive and verify incoming deliveries at our Stonetree facility.
  • Ensure materials are organized, accurately documented, and distributed to the appropriate projects.
  • Coordinate material staging to support efficient production.

Aspire Administration

  • Enter invoices, receipts, and gate inventory tickets daily.
  • Maintain accurate pricing and item information within Aspire's Item Catalog to support estimating and job costing.
  • Complete month-end purchasing responsibilities accurately and on time.

Nursery Operations

  • Organize and maintain Rossen's plant nursery.
  • Stage plant material for upcoming installation projects.
  • Oversee nursery irrigation and plant health.
  • Maintain a clean, organized, and production-ready nursery.

Runner Coordination

  • Coordinate daily delivery requests and priorities.
  • Manage the company runner's workload and time entry.
  • Support efficient movement of materials between vendors, the yard, and job sites.

Uniform & Operational Support

  • Manage employee uniform ordering, inventory, and distribution.
  • Maintain compliance with company uniform standards and processes.

Special Projects

Support operational initiatives such as:

  • Fleet graphics and truck wraps
  • Company signage
  • Uniform updates
  • Marketing collateral
  • Employee appreciation ("Surprise & Delight")
  • Seasonal events
  • Office and facility improvement projects
  • Other special projects as assigned

Preferred Qualifications

  • 3–5 years of purchasing, procurement, inventory, operations, supply chain, or construction materials management experience.
  • Experience in the landscape, construction, horticulture, irrigation, or green industry preferred.
  • Experience with Aspire or similar ERP software preferred.
  • Strong Microsoft Excel and Microsoft Office skills.
  • Valid driver's license with a clean driving record.

Physical Demands

  • Ability to walk, stand, bend, lift, and move materials as needed.
  • Frequently work in both office and outdoor environments.
  • Occasionally lift and move up to 50 pounds.
  • Ability to safely operate company vehicles when required.

Working Environment

This role combines office, warehouse, nursery, and outdoor work. You'll regularly interact with vendors, delivery drivers, production teams, and office staff in a fast-paced environment while helping ensure our operations run smoothly.
